After defining your quote settings, you can send a quote to a guest from the Multi Calendar or via the Inbox. When creating the quote, you decide whether to set the reservation status to Reserved or Inquiry (i.e., reserve the listing for the potential guest, or leave it vacant).

A link containing the quote will be sent to the guest via email, allowing them to book their stay.

If the guest approves, the reservation status will instantly change to Confirmed.

Note:

It may take up to 10 minutes for the quote to be sent.

For reserved quotes, the selected dates will be blocked on all relevant calendars until the time you set for the quote expires. Once a reserved quote is confirmed, the quote link will no longer be available. Inquiry quotes won’t block the calendar.

You can send one quote for one guest at a time, either for one listing or multiple listings. For the latter option, you can only use the same date range for all the included listings. Learn more below.

Sending a quote for a single listing

  • Sending a quote by "drag and select" in the Multi Calendar: Use this option to check the availability of a specific listing using the Multi Calendar overview.
  • Sending a quote via the Inbox: You can send a quote via a specific thread with a guest, sharing the availability of a selected listing on specified dates.

Sending a quote for multiple listings

  • Sending a quote via "Availability search" (Pilot): Use this option to check which listings are available on given dates. You can include in the quote up to 25 listings.

Learn how to send a quote for each option below.

Before you begin

Please note the following prerequisites and limitations.

  • Set up your quote settings.
  • If you want to collect the guests' payment details when they book via a quote, connect a payment processor to Guesty. Otherwise, you'll be able to send a quote without asking the guest to enter a payment method.
  • Additional fees that are set up per listing or per account won't be displayed in the breakdown of the quote, but will be calculated into it. As a result, the quote's total payout may be higher than the sum of the parts in its breakdown, (e.g., the accommodation fare, cleaning fee, and taxes sections).
  • Quotes sent with the status "Reserved" will automatically expire after the time frame you set is over if they aren’t confirmed (unless you choose "Indefinitely"). If a guest wants to accept your offer later than the time frame you set, you can create a manual reservation, or send them a new quote.
  • Quotes sent with the status "Inquiry" will keep the calendar unblocked, and won't expire
  • You cannot include listings that are set with different currencies in the same reservation/quote. You can change the listing’s currency via the property page if needed.
  • If you send a quote for multiple listings, a reservation quote will be created for each listing on the calendar (“sub-reservations”). Once the guest confirms one of the options, all but the relevant reservation will be set to a "Closed" status. You can manage the statuses of each of the sub-reservations independently.

Beta: Sending a quote via availability search in the Multi Calendar (multiple listings)

You can create a single quote, comprised of one unit /multiple units for a selected date range, and send it to one guest.

Follow the instructions below.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click
  3. Click Availability search at the top right of the Multi Calendar.
  4. To narrow down the search results, you can use the following filters:
    • Click Dates to search for available listings in a chosen date range.
    • Click Guests per unit to set the number of guests per room. for example, if having three guests in the group, select "3" to display units with at least 3 available beds.
    • Click Filters to add additional filters (such as Amenities, or Cities)
  5. Click Find properties

  6. In the search results, you can see all available listings, their maximum guest occupancy per bedroom, the total number of bedrooms in the properties, and the number of available room types for each listing (see below).

If a listing is a multi-unit, all its sub-units will be shown under the same result. For example, if you have 15 dorm rooms in one multi-unit, all rooms will be counted as the number of "Available units" on the same listing's row.

For complexes, each room type will be displayed as a different result. For example, duplexes and dorms that are part of the same complex will be shown as two separate results (appearing on two different rows). Also, If one of the room types is a multi-unit (for example, a “dorm” type, having 15 dorm rooms), all its sub-units will be displayed under the same "Available units".

    Tip:

    • You can sort the results by using the “Sort by” button
    • You can click on the listing’s name to open the property page (if you’d like to explore the listing’s specific monthly calendar, etc.)
    • You can hover over the question mark icon next to the listing’s city to see its full address
  7. Click Add next to all the listings you’d like to include in the quote. All the selected units will be shown under “Summary” to the right.
    • You can add up to 25 units to the Summary page.
    • If more than one unit is available for booking, use the arrows in the listing’s row to increase or decrease the number of selected units.
    • You cannot include listings with different date ranges in the same quote. In this case, create separate quotes for the different dates.
  8. Click Send quote
  9. In the next screen, check the summary of the quote in the top bar, displaying the overall date range, total number of guests, total number of booked nights, total (distinct) properties, and the total price (or price range). If needed, return to the previous screen to adjust the details.

  10. Under the “Property details” section, you can adjust the pricing per booked property, such as by adding a coupon, overriding the accommodation fare, fees, or taxes, or changing the applied rate plan (if relevant).
    • In case you selected more than one unit, each unit will be displayed in a different section, allowing you to adjust their fees separately. Click the down arrow to the right of the relevant row to expand it.
    • If you've edited the additional fees, they will not automatically be recalculated if an alteration is made to the reservation after it is confirmed. For example, once you edit the cleaning fee for a night, adding an additional night to the reservation (after the quote has been confirmed)  will set the extra night's cleaning fee to the price it was before the alteration.

  11. In the “Booker contact details”, add the booker details by either clicking Add details (for adding a new guest) or by selecting an existing guest from the dropdown. The booker will be assigned to the group reservation and will be the reservation’s payer.

  12. Under “Reservation notes”, click Add notes to add any internal information about this reservation quote.

  13. Under “Reservation status”, select the relevant source & status of the quote. Use one of the following statuses:
    • Inquiry: Use this status when you don’t want to block the calendar for the selected listings and dates.

    • Reserved: Use this status when you want to block the calendar for the selected listings and dates. If the guest will book a reservation via the quote, you will need to change a “Reserved” status to either “Confirmed”, if approving the reservation, or to “Closed”, to remove the calendar block.

  14. Click on the blue button at the top right. Then, choose one of the following listed below.
    • Save & send quote or Reserve & send quote: Choose this option if you’d like to send the link to the guest in a message from the Guesty Inbox.

    • Save & copy quote or Reserve & copy quote: Use this option to copy the quote and edit it in a customized message (e.g., if you’d like to change the subject line, add variables, add attachments, etc.). Once done, you can send it to the guest.

    • Save or Reserve: Use this option If you'd like to reserve the dates and price in the quote, but not to send the actual quote to the guest.
