You can manage new reservations for owners, including those made on behalf of friends and family, via the Multi-Calendar or the Owners Portal. New owner reservations function like standard guest reservations, while previous owner stays retain their original functionality.

Limitations

  • Moving an owner reservation to another listing isn't supported.
  • Changing the channel or source of an owner reservation isn't supported.
  • A cancelled owner reservation can't be restored. You or the owner will need to create a new reservation. 

Create an owner reservation

Create owner reservations for owners, or for their friends and family, in Guesty via the Multi-Calendar or the Owners Portal. Dates for owner reservations will be blocked across all booking channels.

Note:

If a calendar block prevents you from creating an owner reservation in the Owners Portal, review the listing’s availability settings. When an owner reservation is created on a listing with Smart Calendar Rules, the dates for related listings will be blocked accordingly. Disable flexible blocks, such as advance notice if necessary, or remove the block directly from the Multi-Calendar

Via the Multi-Calendar

Once you assign the owner to the listing, follow the instructions below to create an owner reservation via the Multi-Calendar.

Important:

For multi-units and complex units: You must assign the owner to a sub-unit first. If the owner is assigned to the parent unit, but not the sub-unit, the reservations won’t sync with the Multi-Calendar. 

Step by step:

  1. Sign in to your Guesty Account.
  2. In the top navigation bar, click the calendar icon to enter the Multi-Calendar.
  3. Locate the relevant listing and select the required dates.
  4. Click New owner reservation.
  5. Select the relevant owner from the dropdown menu.

    If the owner is missing, assign the owner to the listing first.

  6. Select the number of guests.
  7. If the reservation is for friends or family, check the Reserve for owner's Friends & family box. Under "friends & family details", select New guest or Existing guest and fill in the required details. This information will serve as the guest's contact details.

  8. Click Create owner reservation.

    The owner reservation is added to the Multi-Calendar and is visible to the owner in the Owners Portal.

    The confirmed reservation is displayed in the Owners Inbox with a key logo on the contact icon and displays "Owner" together with the owners name.

Via the Owners Portal

The property calendar can be viewed under "My Properties" in the Owners Portal. Here, you and your owners can create owner reservations if reservations are enabled. Each property calendar shows the listing's availability, reflecting all reservations, including owner reservations. 

Owner reservations are marked in light blue.

For listings with multiple owners, reservations marked in dark blue with a keys logo on the calendar indicate an "other owner stay". These belong to other owners and can't be edited.

Follow the instructions below to create an owner reservation via the Owners Portal. 

Step by step:

  1. Sign in to your Guesty Account.
  2. In the top navigation bar, click the mode selector and select Operations mode.
  3. Click Owners.
  4. Select the relevant owner.
  5. Click Preview Portal. This will open the Owners Portal in a new tab.
  6. Select the relevant listing.
  7. Click on a specific date on the calendar, or on the + icon located at the bottom right of the calendar.
  8. If the reservation is for the owner, enter the relevant information. It is optional to add a note.

    If the reservation is for friends or family, check the box next to Reserve for friends & family. Select New guest or Existing guest and fill in the relevant details. A first name, last name, and email address are required to make a reservation. This information will serve as the guest's contact details.

  9. Click Create reservation.

    The owner reservation is added to the Multi-Calendar and is visible to the owner in the Owners Portal.

    The confirmed reservation is displayed in the Owners Inbox with a key logo on the contact icon and displays "Owner" together with the owners name.

Owner reservation tags

When you or an owner creates an owner reservation, a guest profile with an "Owner" tag is automatically generated. Manually creating an owner-tagged contact is not supported. Future owner reservations will be linked to this profile, which includes the owner's email by default. You can update the email in the guest profile without affecting the owner's profile.

When you create an owner reservation for friends or family, a new guest profile with a "Friends and family" tag is automatically generated when the reservation is confirmed. This profile requires a full name and email address and can be managed like any other contact.

Update or cancel an owner reservation

A new owner reservation is managed like a guest reservation and can be edited and canceled as needed via the Multi-Calendar or the Owners Portal. Once an owner reservation is canceled, the dates will be available on all booking channels. 

Important:

We don't recommend changing the name on an owner's reservation as this will update all current and future reservations for the owner, potentially confusing if reservations display an unexpected name. If the reservation is for friends and family, select 'Reserve for Friends and Family' and enter the guest names. This will create a separate contact profile.

Via the Multi-Calendar

An owner reservation is marked with a owners logo logo. When you hover over it, the tooltip will indicate it is an owner reservation. If it is a new owner reservation, the tooltip will include an "Owner" or "Owner-guest" tag, and balances will appear as "0" (zero). Learn more about accounting for owner reservations.

Follow the instructions below to edit or cancel an owner reservation via the Multi-Calendar. 

Step by step:

  1. Sign in to your Guesty Account.
  2. In the top navigation bar, click altto enter the Multi-Calendar.
  3. Locate the relevant listing.
  4. Click on the owner reservation to open the reservation widget on the right.
  5. Similarly to a guest reservation, click the vertical ellipsis in the top right of the reservation widget. 
  6. Select Edit reservation from the dropdown menu to manage the reservation.
  7. Make the necessary changes and click Save.

The reservation widget on the right has the following additional actions:

  • Click the expand iconto open the reservation summary page, where you can edit or cancel an owner reservation like any other.
  • Clickthe vertical ellipsisand select Go to inbox to visit the relevant thread in the Inbox. Learn more about the Owners Inbox.

    In the Inbox widget on the right, click the Pencil iconto edit or cancel the owner reservation. Click Save to apply the changes.

Via the Owners Portal

Follow the instructions below to edit or cancel an owner reservation via the Owners Portal. 

Step by step:

  1. Sign in to your Guesty Account.
  2. In the top navigation bar, click the mode selector and select Operations mode.
  3. Click Owners.
  4. Select the relevant owner.
  5. Click Preview Portal. This will open the Owners Portal in a new tab.
  6. Select My properties from the top navigation bar.
  7. Select the relevant listing.
  8. To edit an owner reservation, click on the owner reservation marked in light blue.

    Owners reservations are marked in dark blue with a keys logo belongs to other owners and can't be edited.

  9. In the sidebar, make the necessary changes and click Apply changes.



    To cancel an owner reservation, click Cancel reservation in the sidebar and confirm the action in the pop-up.

Accounting for owner reservations

By default, adding accommodation fare and/or additional fees to an owner reservation is not supported, and a financial invoice is not generated. Balances for owner reservations will always total 0 (zero).

To include fees and taxes for owners reservations:

  • Accounting users: Create recurring owner charges using a business model to configure all applicable fees and taxes for owners reservations accordingly. These charges will be automatically deducted from the owner statement balances.
  • Non-accounting users: Create a manual reservation to include accommodation fare and additional fees, and generate a financial invoice.

Communications with owners about owner reservations

Owners Inbox

Conversations and automated messages linked to owner reservations, including reservations for friends and family, are displayed in the Owners Inbox as follows:

  • Messages with a "Guest reservation" label indicate communication with an owner about a guest reservation.
  • Messages with no label indicate communication with an owner about an owner reservation, or a reservation made on behalf of their friends or family.
    • Owners reservations are marked with a key logo on the contact icon and display "Owner" together with the Owners name.
    • Owners reservations made on behalf of friends and family don't display any specific logo or label.

Message automations

Create a message automation exclusively for owners reservations. This communication will be displayed in the Owners Inbox.

Note:

Communication, including automated messages, related to manual blocks created for owners and their friends and family, isn't received or managed in the Guesty Inbox.

Notifications

Notifications are received when an owner makes a new owner reservation. To be notified by email for new owner reservations, set up an automated message

System emails continue for existing owner stays.

Owner reservations in the Reservation reports

Owner reservations, whether for personal stays or for friends and family, will appear in the Reservations report of your Guesty account and on the Owners Portal.

Reservations for owners are assigned an "Owner" channel and reservation source. Reservations for friends and family are assigned an "Owner-guest" reservation source.

To create a Reservations report for owner reservations, apply the “Owner” and/or “Owner-guest” to the Source filter.
