When a reservation is received in Guesty from a channel (including a direct integration) or created manually in Guesty, the guest associated with the reservation is automatically saved as a new contact.

Updating a guest's details changes their information in all the reservations they're assigned to, as well as on their contact page.

Limitations

  • You can't replace the guest assigned to a reservation. Once a guest is added to a reservation, they can't be changed or removed from it. If you need to change the guest, you must first cancel the reservation and then create a new reservation with the new guest's details.
  • All reservations must have one assigned guest. If you have different guests, you must create a new reservation under their name(s).
  • Guests (and other contacts in Guesty) are linked with reservations and other data, so they can't be deleted. To request that a guest's record be deleted, contact us.

Guest information you can update

You can manually make updates to the guest’s details in Guesty, such as:

  • First and last name
  • Email address and primary email address
  • Phone number and primary phone number
  • Hometown
  • Guest tags: You can tag your guests as "Blocklisted", "Friends and family", "Management", "Staff", "Loyalty Program", and/or "VIP". Use these tags as a filter in your reservation report.
  • Preferred language: Use this to communicate with a multi-lingual client base by applying it as a message condition in your automated messages. The guest's preferred language field is not populated automatically; it must be filled out under guest details.
  • External profiles
  • Internal notes
  • The guest travel information, including:
    • Transportation method
    • Flight number
    • Reason for visit
    • Booked on behalf of someone else (Yes/No)
  • Additional details, such as allergies, birthday, and identity number.

Update a guest's details

Update guest information in one of four places: the reservation page, the specific guest's contact page, the Multi-Calendar, or the Inbox.

Via the reservation page

Follow the steps below to update your guest contact details or travel information via the reservation page. 

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector, then select Operations.
  3. Click Reservations.
  4. Click the relevant reservation.
  5. Update relevant guest information:
    • To update the guest's contact details, click the expand icon next to  "Guest”. Click Edit next to the information you want to edit.
    • To update the guest's travel information, click the Pencil icon next to "Travel information".
  6. Edit the relevant information.
  7. Click Save.
Via the guest contact page

Follow the steps below to add more details about your guests (such as their identity number, birthday, and allergies) via the guest contact page. 

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector, then select Operations.
  3. Click Guest experience.
  4. From the dropdown, select Contacts.
  5. Select the relevant contact.
  6. Click Edit next to the information you want to edit.
  7. Edit the relevant information.
  8. Click Save.
Via the Multi-Calendar and the Inbox

Follow the steps below to update your guest contact details via the Multi-calendar and the Inbox. 

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar:
    • Click the calendar icon to navigate to the Multi-Calendar.
    • Click the Inbox icon to navigate to the Inbox.
  3. Select the relevant reservation.
  4. On the right-side panel, click the guests icon .
  5. Click Edit next to the information you want to edit.
  6. Edit the relevant information.
  7. Click Save.
