Helping owners create, edit, or cancel personal stays via the Owners Portal

The Owners Portal is a website, separate from the Guesty dashboard, where your property owners can view data about their properties, earnings, and more.

You or your owners can also block off a listing's calendar for their own personal stays by creating an owner reservation via the Owners Portal. The selected dates will be blocked in all booking channels.

Important:

Owners will be able to book their own stays via the Owners Portal after you've enabled reservations via the Owners Portal "Features" section.

Keep in mind that Guesty fees aren't applied to owners' reservations.

 

The Owners Portal property calendar/s

The property calendar can be viewed under the My Properties page in the Owners Portal. This is where owners can create their personal stays.

Each property calendar shows the calendar's availability, including personal stays.
Today’s date is highlighted in blue (like April 9th in the image below), while personal stays are blocked out in blue (like April 19th-20th in the image below).

 

Blocking dates for owner stays via the Owners Portal

Follow the instructions below to block dates for your owner's reservation via the Owners Portal.

Note:

When an owner reservation is created on a listing with Smart Calendar Rules, the dates for the related listing will also be blocked according to the Smart Rules.

Step by step:

  1. Sign in to your Guesty Account.
  2. In the top navigation bar, click the mode selector and select Operations mode.
  3. Click Owners.
  4. Click the relevant owner.
  5. Scroll down to the "Owners Portal access" section, and click Preview Portal.
    This will open the Owners Portal in a new browser tab.
  6. Select the relevant listing.

    Important:

    For multi-units and complex units: You must assign the owner to a sub-unit first.
    If the owner is assigned to the parent-unit, but not the sub-unit, then the reservations won’t sync with the Multi-Calendar.
    If the owner is assigned to the sub-units, reservations will sync with the Multi-Calendar.

  7. Click either on a specific date on the calendar or on the + icon (located at the bottom right of the calendar).
  8. If the reservation is for an owner, under "Create a reservation", enter the relevant information.
    It is optional to add a note in the text box.
  9. If the reservation is for friends or family, under "Create a reservation", check the box next to Reserve for friends & family. Select New guest or Existing guest and fill in the relevant details. A first name, last name, and email address are required to make the reservation, and this information will serve as the guest's contact details. 
  10. Click Create reservation.
    The dates of the reservation will be blocked in blue on the calendar.

Updating or canceling an owner's reservations

Follow the instructions to edit or cancel an owner's reservation via the Owners Portal.

Note:

Only future stays can be updated/edited.
Once an owner reservation is canceled, the selected dates will be available on all booking channels.

Step by step:

  1. Sign in to your Guesty Account.
  2. In the top navigation bar, click the mode selector and select Operations mode.
  3. Click Owners.
  4. Click the relevant owner.
  5. Scroll down to the "Owners Portal access" section, and click Preview Portal.
    This will open the Owners Portal in a new browser tab.
  6. Select the relevant listing.
  7. Click on the dates of the reservation (marked in blue).
  8. To edit a reservation: update the relevant reservation dates or times and click Apply changes.


  9. To cancel the reservation: click Cancel reservation. In the popup, click Cancel reservation.

Email notifications

Both you and your owner will receive automated emails for the following:

  • Owner reservation confirmation
    An email notification will be triggered when the owner creates a personal stay via the Owners Portal.
  • Owner reservation updates
    An email notification will be triggered when the owner updates their personal stay via the Owners Portal
  • Owner reservation cancellation
    An email notification will be triggered when the owner cancels a personal stay via the Owners Portal.

Note:

These types of automated email notifications your owner will receive can't be deactivated, edited, or changed.
You can also create specific automated messages for owners or send an owner statement to an owner.
