As a property manager, you control the level of transparency and the specific features available to your owners. After setting up the portal, apply these settings as a default for all owners or customize them for individuals at any time.

Set default portal settings

Default settings simplify the onboarding process by ensuring every new owner starts with the same level of access.

  1. Sign in to your Guesty account.
  2. In the side navigation menu, click icon Operations to open the dropdown menu.
  3. Under Portfolio, select Owners.
  4. In the top-right corner, click Portal settings.

  5. Adjust the toggles and checkboxes for the features you want to enable by default. See details below.

  6. Click Save.

  7. In the pop-up, choose an action:

    • Apply to all owners: Overwrites all existing individual customizations. This action is irreversible.

    • Apply only to new owners: Applies these settings only to owners added in the future.

Customize individual owner settings

You can override default settings for specific owners who require different permissions or data visibility.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, click icon Operations to open the dropdown menu.
  3. Under Portfolio, select Owners.
  4. Click the relevant owner.
  5. If needed, toggle on Enable Portal access.


  6. Adjust the default toggles and checkboxes for the individual owner's view. See details below.

  7. Click Apply changes.

Preview the Owners Portal

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, click icon Operations to open the dropdown menu.
  3. Under Portfolio, select Owners.
  4. Click the relevant owner.
  5. In the left-side menu, click Preview portal.


Portal settings

Overview

Performance settings: Controls visibility for revenue, occupancy rates, booked nights, and average nightly rates.

Calendar and reservation settings: Determines if owners see nightly rates, minimum stay requirements, or booking sources (OTA links).

Owner reservations: Allows owners to create personal stays and change their own check-in/out times.

Extras: Includes access to the Help Center, guest reviews, and sharing cleaning or inspection photos (Beta).

Detailed options

Performance settings

Owner revenue

Allows property owners to view their earnings. Depending on the calculation model (Business model definition/Revenue share formula), calculations may include the accommodation fare, channel commissions, and discounts. 

Learn how the owner's revenue is displayed in the Owners Portal.

  • Accounting users: The owners' share will be calculated according to the business model defined in the Accounting settings. Accommodation fare will be available alongside Net Rental Income.
  • Non-Accounting users: The revenue will be calculated using your revenue share formula. The owner's revenue will be displayed in the Owners Portal based on your selection on the "Recognized Revenue" page—either by check-in date, check-out date, or calendar dates. The accommodation fare will also be available.

Note:

For canceled reservations: Depending on the listing’s cancellation policy, revenue from a canceled reservation may be accounted for and displayed in the owner’s revenue.

Accommodation fare

Allows property owners to view the original price of the reservation on the reservation tooltip and the reservations report. It includes the monthly sum, which is based on your revenue recognition setup and consists of the total accommodation fare of confirmed and canceled reservations for the month.

If a canceled reservation should be excluded from the accommodation fare, adjust the line item in the reservation's guest folio.

Net accommodation fare

Available for non-Accounting users only.

Allows property owners to view the total accommodation fare after adjustments on the reservation tooltip and the reservation report. Excludes the monthly sum.

Accommodation fare and net accommodation fare are displayed together if both options are enabled.

Net accommodation fare will not be displayed if the original price has no adjustments.

Net rental income

Available for Accounting users only.

Allows property owners to view rental income: The reservation tooltip is displayed when an owner hovers over a reservation on the calendar in the "My properties" tab. 

Revenue per listing

Allows property owners to view the property performance each month. This metric is measured by multiplying the average nightly rate by occupancy.

Occupancy

Allows property owners to view how occupied their property is. The "Occupancy percentage" metric is calculated by dividing the number of booked nights by the number of bookable nights (both booked and available for booking).

Note:

The occupancy rate won't include reservations made before the Guesty listings were activated, so imported or uploaded reservations won't be counted.

Booked nights

This feature allows property owners to view how many nights each property is currently blocked by confirmed reservations within a selected time period.

Average nightly rate

Allows property owners to view the average cost of staying at the property, calculated by dividing the total payout of confirmed reservations by the number of booked nights.

Calendar and reservation settings

Nightly rate

Allows property owners to view the price of a reservation per night, according to the listing calendar, before adjusting any financial settings such as markups, rate plans, or additional fees.

Minimum nights

Allows property owners to view the minimum number of nights required to make a reservation, according to the listing calendar, before any other adjustments are made.

Notes for manual calendar blocks

Allows property owners to hover over manual blocks on the calendar to view published notes. 

Booking sources (OTA links)

Allows property owners to view the source of the reservation and the OTA listing links.

Booking sources (Online Travel Agency links) are only available on the Owners Portal if listed and integrated with those channels in Guesty. To sync Booking sources (OTA links) to the Owners Portal, add the link to the channel listing page before you check the Booking sources (OTA links) box. 

Total payout

Allows property owners to view the total amount payable by the guest, including accommodation fare, fees, and taxes on the reservation tooltip and in the default reservation report.

Reserved guest reservations

Allows property owners to view unconfirmed reservations on the calendar. 

Reservation tooltip

Allows property owners to hover or click to view enabled data per reservation on the calendar.

Note:

If the "Reservation tooltip" is not checked, the tooltip won't display any information for the reservation, even if other performance settings or calendar and reservation settings are selected.

Display guest name/guest email/guest phone

Check the relevant boxes to display the guest name, email, and/or phone number. 

From the dropdown, select how guest name is displayed, e.g. full name or last name only. The selected format will automatically update in the calendar (tooltips and overlays), and the reservation report.

Guest email and phone number are not visible in the calendar, only in the reservation report.

Owner reservations

Display notes for reservations made by co-owners

Check this box in addition to the "Reservation tooltip" in Calendar and reservation settings to allow co-owners to view notes made on previously existing owner stays.

Allow creation of owner reservations

Allows property owners to create personal stays by activating Allow owner to change check-in/out times.

Allow the owner to change check-in/out times

Only enabled if "Allow creation of owner reservations" is selected. Allows property owners to choose their arrival and departure times.

Owners reservation report

Display reservations report

Allows property owners to view guest reservations for their properties. They will also be able to download reservation reports as a CSV file. The CSV report is limited to 200 reservations per download.

You can assign a customized reservation report for owners to all owners via the default portal settings, or to an individual owner via the Owners Portal settings. 

Note:

If you apply this to the default portal settings, where a custom report is null, custom reports assigned per owner are removed.

To avoid removing all custom reports, you can assign one custom report to all owners in the default portal settings. Each owner only sees the reservations assigned to their listing.
