Adjusting a reservation's guest folio (Non-accounting users)

Important:

If you are an Accounting by Guesty user, follow the steps in this article, which includes information about how guest folio adjustments affect the accounting folio and owner statements.

When guests book a reservation they pay you for services received. Their main payment is the accommodation fare, but they might need to pay taxes or additional fees. Each payment is a line item that makes up the reservation's guest folio breakdown, which gives you the most accurate summary of services in a reservation

You can toggle between two views: per line item and per night. Learn more about how the nightly rates are calculated here.

You can update the guest folio by changing the price of a service that is already part of the reservation or by adding a new service. 

Important:

If you have our new owner reservation page, you cannot adjust or add line items on owner reservations.

Airbnb

If you want the price change to appear in Airbnb, follow these steps.

Booking.com

You can only change a reservation's accommodation fare via Guesty after check-in time, and only if you're not using one of Booking.com's payment solutions for the listing. If you want to change the accommodation fare before check-in or if using a Booking.com payment solution, change the fare directly via Booking.com.

If you adjust the accommodation fare in Guesty, taxes are recalculated only if they are calculated on a percentage basis. If your taxes are set up per night, they will not be recalculated when the accommodation fare is adjusted.

Realization date logic

When adjusting a line item, the "realization date" is when the price change should be attributed to the reservation. 

  • If the item is adjusted before check-in, the default realization date is check-in
  • If it is adjusted after check-in, the default realization date is the date the change is made

You have the option to change the realization date when making an adjustment.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Operations mode.
  3. Click Reservations.
  4. Select the relevant reservation.
  5. In the banner at the top, click Balance due.
  6. In the guest folio breakdown, click Adjust line item.
  7. Fill out the information in the pop-up, then click Adjust:
    1. Select the line item you want to adjust.

    2. Choose how much money you want to add or remove from the price.

    3. Accept or change realization date (see information above).

The price adjustment will appear on the realization date as a single line item (under the original item) and will not be broken down into nightly rates, even though prices are presented in the folio per night.

Example: If you deduct $100 from a baby crib fee, the entire discount will be recognized on the realization date, even though the crib is used equally every night and the original fee is broken down per night.

Step by step:

  7. Fill out the information in the pop-up, then click Confirm:
    • Select the line item you want to add.
    • Choose how much the guest should pay for it.

The price for the new service will appear on the realization date as a single line item and will not be broken down into nightly rates, even though other prices in the folio are presented per night.

Example: If you add a cleaning fee, the total price for the fee will be recognized on the realization date.
