Approving or declining a reservation or inquiry

You can manually change the status of a reservation via Guesty to confirm or decline reservations.

Learn here about the different statuses mentioned below and their effect on the calendar.

Once a reservation is confirmed, you cannot change its status to Reserved or Inquiry. Also, if a reservation is set to inactive status (such as Closed), it cannot be reverted to active status. You can create a new reservation and update it with the relevant status, instead.

To ensure that the reservation status syncs with your booking channels, check that the listing is connected to the channels (not in a “Disconnected” status).

Airbnb reservations: You may pre-approve an Airbnb inquiry.

Vrbo reservations: Approving or declining a reservation or an inquiry in Guesty will not sync to Vrbo immediately, and may take up to 24 hours.

Changes you can make to a reservation’s status

Closing a reservation

Once a reservation is inactive (having a Closed/Canceled/Declined status), the reservation's block will be removed from the calendar. You can manually change a reservation’s active status (such as Confirmed/Reserved/Inquiry) to inactive status (such as Closed or Canceled).

Approving a reservation

Once a reservation is confirmed, the dates will be blocked on all connected channels. A reservation can be confirmed regardless of other limitations you've set on Guesty, such as Advance Notice, Booking window settings, a listing's maximum occupancy, or the minimum/maximum nights per stay. Confirming the reservation will override these blocks.

Pro users: When a guest approves a quote, the reservation status will automatically change to Confirmed.

Confirming a Reserved reservation

A Reserved status blocks the calendar for the selected dates, for some specified period.

  • Reservations from channels with a request to book policy will be received in Guesty with a Reserved status. You’ll need to manually change the reservation's status to Confirmed or Closed.
  • Requests to book received from Vrbo or Airbnb guests will be set to Reserved status. You have 23:50 hours to approve them before they automatically decline. Then, the reservation’s status will change to Expired and the guest will receive a message that you’re unable to accept their reservation. 
  • When creating a manual reservation, you can set its status to Reserved, and select the length of time for which the calendar will be blocked for the guest's confirmation (between 12 to 72 hours, or indefinitely). If that time expires and the status hasn’t been changed to Confirmed, the block will automatically be removed from the calendar and the reservation's status will be set to Expired.
  • A Reserved status can be used when sending a quote. Selecting a Reserved status will block the calendar for the potential guest.

Confirming an Inquiry

An Inquiry status doesn't block the calendar.

  • When creating a manual reservation, you can set its status to Inquiry, thus not reserving the dates for the guest. To block the calendar, you’ll need to manually change the Inquiry status to Confirmed or Closed. 
  • An Inquiry status can be used when sending a quote.
  • Vrbo and Airbnb guests can send you an inquiry by clicking "Contact host”, and a reservation with Inquiry status will be created in Guesty.
  • Avoid confirming a Vrbo inquiry (via Guesty or Vrbo). Extra details, such as contact information and payment method, are required when making a Vrbo reservation. Instead, instruct the guest to click "Book Now" themselves. They will then be able to enter their details and send you a "Quote and Hold" request (or, if you set instant approval, the reservation will automatically be confirmed). 
  • After you connect your Vrbo account with Guesty, you no longer receive an email notification from Vrbo when a reservation is confirmed. To receive a notification, set up an automated message to be sent at booking confirmation.

Changing a reservation's status in Guesty

See below how to change the reservation’s status via the reservation page. You can also change the reservation’s status via the Multi-Calendar or the Inbox via the right side pannel (the reservation widget).

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Operations mode.
  3. Click Reservations.
  4. Click the relevant reservation.
  5. For Airbnb reservations, click the vertical ellipsis, then select Edit reservation. For other reservations, click the Pencil icon.
  6. Under "Status", select a new reservation status from the dropdown menu. To confirm a booking request from Airbnb or Vrbo, under "Summary", select Approve.
  7. Click Save.
