Troubleshooting: Owner revenue discrepancies in the Owners Portal

This article explains why owner's revenue or other financial metrics might display unexpectedly or show as $0.00 in the Owners Portal, and provides steps to resolve these issues.

Owners may report that their revenue figures don't match their expectations, show as a negative balance, or display without cents. These variations occur because of revenue recognition configurations, reservation statuses, business model assignments, or portal display rules.

What's happening

Owner revenue discrepancies usually occur due to one of the following symptoms:

  • Owner's revenue displays as $0.00 for active listings or past dates

  • Portal revenue figures don't match reservation folio totals

  • Monetary amounts display as rounded whole numbers without cents

  • Revenue appears in a different month than expected

  • Recent financial updates don't appear in the portal immediately

How to fix it

Review the troubleshooting steps below based on your account setup and the specific discrepancy you observe.

Check Guesty Accounting settings

When using Guesty Accounting, revenue calculates and displays based on the business model assigned to the listing.

  • Assign missing business models: If a listing isn't assigned to a business model, no revenue displays in the portal. Assign the listing to a model and apply it retroactively to existing reservations. When activating a business model after reservations check out, those reservations don't process automatically under the active model. Contact Guesty Support to apply the business model retroactively to reservations older than two months. 

  • Verify revenue recognition setup: The estimated owner's revenue for an ongoing month depends on your business model's recognition settings. For example, when setting your model to "Check-in," revenue impacts the estimate only after the check-in date passes.

  • Review journal entries and charges: Accumulated transactions per property determine the figure on the "Analytics" page. Owner's revenue may differ from a reservation total because it accounts for periodic owner charges or manual journal entries.

  • Check canceled reservation revenue: Revenue showing for a canceled reservation depends on the listing cancellation policy, the assigned business model, and the timing of the cancellation.

Check non-accounting settings

When not using Guesty Accounting, revenue calculates through your revenue share formula, while the portal display depends on your Recognized Revenue settings.

  • Verify the recognition method: Revenue may appear in a different month than expected based on whether you select Check-in Date, Check-out Date, or Calendar Dates in your Owners Portal settings.

  • Adjust canceled reservation formulas: To exclude non-refundable cancellation revenue from the owner, update your commission calculation formula to define how the system processes cancellation income.

  • Zero out canceled folios: To prevent a canceled booking from contributing any revenue, manually zero out the guest folio

Tip:

Run a reservations report filtered for canceled bookings for specific listings across your target time period.

Review display differences and formatting rules

Certain display differences occur by design and don't indicate a calculation error in Guesty:

  • Whole dollar rounding: The Owners Portal rounds displayed monetary values to the nearest whole dollar. exact amounts including cents display in Accounting views and reservation folios.

  • Field labels and line item rollups: Portal calendar tooltips use different labels than reservation folios. Fields in the portal may combine multiple line items. For example, "Accommodation fare" in the portal includes base accommodation rates plus additional fees like credit card processing charges, while the folio lists the base price separately from deducted fees.

Review common system factors

The following factors impact owner's revenue regardless of your accounting setup:

  • Reservation status: Reservations in "Reserved" status don't enter owner's revenue calculations. Only "Confirmed" or "Canceled" bookings trigger revenue recognition.

  • Smart calendar rules: Revenue applies only to the listing where the guest made the reservation. When a calendar rule blocks a listing due to a booking on a different listing, the blocked listing displays $0.00 revenue for those dates.

  • Activation dates: When activating a listing in your Guesty account after a reservation imports or checks in, the portal excludes those historical metrics.

  • Sync delays: Financial data updates can take up to 24 hours to reflect in the Owners Portal.
