This article explains how to record transactions that don't fall under a predefined Guesty transaction. Adding a journal entry allows you to define which account to debit or credit, select the relevant owner, vendor, or guest, and enter the specific amounts. You can also schedule entries up to 365 days in advance to manage automated recurring accruals, deferrals, and period-opening balances.
Limitations
Keep these limitations in mind when adding a journal entry:
Advanced Deposit ledger: Include the reservation number for the Advanced Deposit ledger. To auto-populate these details, add the journal entry directly in a reservation. If you use the Posting Journal, enter the reservation number manually.
Inactive listings: Create journal entries for inactive listings in the Posting Journal only.
Time zone settings: Set the time zone in your Guesty account settings to avoid errors when adding an entry.
Adding an entry via a reservation
Step by step:
- Sign in to your Guesty account.
- In the top navigation bar, click the mode selector and select Financials mode.
- Click Reservations.
- Select the relevant reservation.
- In the gray banner at the top of the page, click Balance due or Payout.
- Scroll down to the "Accounting folio".
- In the top-right corner, click Add journal entry.
- Fill in the required information. To schedule in advance, select the relevant future date.
- Note: If a listing doesn't appear as an option, first assign it to a business model.
- Click Add.
Adding an entry via the Posting Journal
Step by step:
- Sign in to your Guesty account.
- In the top navigation bar, click the mode selector and select Accounting mode.
- Click General ledger and select Posting journal.
- In the top-right corner, click
- Fill in the required information. To schedule in advance, select the relevant future date.
- Note: If a listing doesn't appear as an option, first assign it to a business model.
- Click Add.

View pending entries
When selecting a future date, the journal entry saves with a "Pending" status. The status automatically updates to "Recognized" on the selected date. View and sort entries by "Recognition Status" in the Posting Journal to track their progress.
