Manually assigning or unassigning a multi-unit reservation

When creating a new multi-unit listing, you need to decide whether reservations are assigned to a sub-unit manually or automatically. This article explains how to assign reservations manually, how to view unassigned reservations, and how to unassign a reservation from a sub-unit. You can change these settings at any time.

A reservation will remain unassigned, even with automatic assignment to sub-units enabled, in the following cases:

  • There is insufficient consecutive availability on the calendar for the full stay.

Reservations can be made for a multi-unit listing, even if a sub-unit is unavailable for the entire duration of the stay. In such cases, the system splits the reservation across multiple sub-units with partial availability. The reservation will remain unassigned until you manually confirm and assign all sub-units.

  • A reservation is moved to another sub-unit via the booking channel, but the sub-unit is unavailable.
  • Reservations with a Reserved or Inquiry status cannot be automatically assigned.

Airbnb: Reservations that were imported as "Inquires" and changed to "Confirmed" cannot be automatically assigned.

  • Auto-assignment is not supported for Booking.com reservations

You can relocate other reservations to different sub-units to create vacancies. Alternatively, you can block the availability of the multi-unit in advance if there is not a specific sub-unit available to host the entire guest stay.

View unassigned reservations

You can view and manage all of your multi-unit listings and reservations in one place using Guesty's Multi-Calendar. If any upcoming reservations are not yet assigned to sub-units, an "x unassigned" indication will appear in the left sidebar of the Multi-Calendar, next to the name of the relevant property. Learn how to configure how much time before check-in this indication will be shown in the Multi-Calendar.

Also, you can see all upcoming, unassigned reservations by creating a reservations report.

Manually assign an unassigned reservation to a sub-unit

You can assign a reservation to a sub-unit that is unlisted. However, it is not possible to assign a reservation to a sub-unit that is not an active listing in Guesty.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the Multi-calendar icon.
  3. On the left, click 1 unassigned next to the relevant multi-unit listing.
  4. In the right sidebar, select the relevant multi-unit listing.
  5. Hover over the relevant reservation and click Click to assign reservation.
  6. Select a sub-unit from the dropdown menu.

    Note:

The dropdown menu only displays sub-units of the selected multi-unit, not sub-units of the entire complex. Each multi-unit in a complex operates independently with its own rules and rates, which cannot be shared across sub-units.

  7. Click Save.

Unassign a reservation from a sub-unit

Unassigning a reservation from a sub-unit can be useful, for example, when relocating multiple reservations. Follow the instructions below.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Operations mode.
  3. Click Reservations.
  4. Click the relevant reservation.
  5. Click the three vertical dots next to "Summary". Then, click Edit Reservation.
  6. Under "Assigned Unit", click the x next to the currently assigned sub-unit.
  7. Click Change.

Now you can reassign the reservation to a different listing, as needed.
