Managing changes to an Airbnb reservation in Guesty

Important:

Lite users: To make alterations to an Airbnb reservation, ask your guest to send an alteration request via Airbnb. Once you receive it, approve or decline the alteration request on Airbnb. You can make the changes in Guesty, however, they will not be synced to Airbnb. Additionally, changing the reservation’s assigned listing via Guesty will disable the reservation’s messaging and payment setup.

You can make changes to an Airbnb reservation directly in Guesty.

  • You can approve or decline a guest's alteration request via Guesty.
  • If you want to make changes that will be reflected in Airbnb, ask the guest to send you a reservation alteration request. Alternatively, you can create an alteration request and send it to the guest and Airbnb for approval.
  • You can change a reservation solely in Guesty when the alteration is meant for your internal operation purposes, and when it doesn't affect your guest's stay, such as updating the guest's details or switching its assigned room with another room of the same type. This internal alteration won’t be synced to Airbnb. If changes are made in Airbnb afterward, they will override any internal changes.

Send an alteration request to Airbnb and the guest

When creating an alteration request in Guesty, the request will be sent to the guest and Airbnb for approval. Only the following types of changes can be requested:

  • Changing the reservation dates
  • Changing the number of guests
  • Moving the reservation to another listing
    • You can only move the reservation to a listing under the same Airbnb account.
    • The assigned listing must be available for booking.
  • Changing the total reservation price

    When changing the total reservation price, manually recalculate any affected additional fees to include them in the offer. Only the cleaning fee is not considered part of the total price and is added separately.

    For example: If you adjust the total reservation price from $800 to $1,000, the additional fees will be included in the adjusted total reservation price ($1,000). The cleaning fee, however, will be added on top (+$50), making the total $1,050.

  • Canceling the reservation

When changing the reservation dates, the number of guests, or moving the reservation to another listing, the Host channel fee will automatically be omitted from the guest's total payment (i.e., will be shown as a negative amount). You should add the Host channel fee manually to the reservation's total price.

For example: In the original reservation, the accommodation fare was 1000 USD, the price per night was 100 USD, while The Host channel fee was 50 USD. If you add one more night to the reservation, for example, the total reservation amount will be the new accommodation fare minus the Host channel fee: 1000+100-50=  1050 USD. To add the Host channel fee to the reservation, adjust the reservation total price by adding +50 to it, as explained in the steps below.

Create an alteration request

Follow the instructions below to create an alteration request via the reservation page.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the icon dropdown menu and select Operations mode.
  3. Click Reservations.
  4. Click the relevant reservation.
  5. Click , located at the top right side of the “Summary” field.
  6. Select Request edit.
  7. In the pop-up, change the desired fields. Then, click Next.
  8. In the next screen, review the updated reservation price breakdown.

    To change the total reservation price, use the up and down arrows next to “Total”. Since the accommodation fare includes your additional fees (except for the cleaning fee), make sure to include the price of your additional fees in the new reservation price total.

    For example: If you adjust the total reservation price from $800 to $1,000 (while the original cleaning fee was $50), the additional fees will be included in the adjusted total reservation price ($1,000). The cleaning fee, however, will be added on top (+$50), making the total reservation price $1,050.

  9. Click Request edit from Airbnb.
  10. Refresh the page.

A summary of the alteration request will be displayed on the reservation page, under the  “Summary” field.

The alteration request will also be recorded in the reservation log, at the bottom of the reservation page. Use the log to check if the request was made by the host or the guest.

Tip:

You can also create an alteration request via the Guesty Inbox or the Multi-Calendar. Click next to the reservation’s confirmation code, and select Request edit from Airbnb.

Cancel or change a pending alteration request

There can only be one active alteration request per reservation. Therefore, to change an existing alteration request you sent, you must first cancel the existing request. Then, create a new alteration request. Follow the steps below.

Step by step:

  1. Follow steps 1-4 above to access the reservation page.
  2. Click located at the top right side of the “Summary” field.
  3. Click Cancel request to edit.
  4. Click Confirm in the pop-up.
  5. Repeat steps 5-10 above to create a new alteration request.

The cancellation of the previous alteration request will be recorded in the reservation log. The new alteration request will also be added to the log.

Approve or decline an alteration request from your guest

Airbnb guests can send you alteration requests. you will receive a notification in the thread with the guest in the Guesty Inbox. You can either approve or decline the alteration request, and the change will be reflected both in Guesty and Airbnb.

Note:

It may take a few moments for the approval or decline to apply.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the Multi-calendar icon.
  3. Locate the relevant guest's thread.
  4. In the right-side widget, click Approve or Decline. Alternatively, use the “Click here” hyperlink in the notification to approve or decline the request in the Airbnb platform.

Tip:

You can also approve or decline a guest’s request from the reservation page (under “Summary”), or the Multi-Calendar (under the reservation’s confirmation number).

The guest’s request and the approval or decline of the request will be recorded in the reservation log.

Change a reservation only in Guesty

You can make changes to an Airbnb reservation that will reflect in Guesty only. These alterations won’t sync to Airbnb. Use this type of alteration for your internal tracking and documentation only.

Note:

  • There is no option to change the reservation dates only in Guesty. You can send an alteration request for the guest's approval instead.
  • If you make additional changes to the reservation via Airbnb, they will override your Guesty alterations, since changes made in Guesty don’t sync with Airbnb
  • In case you want to move a reservation to another listing, we recommend sending an alteration request (see the section above), and not editing the reservation just in Guesty. Otherwise, disruptions may occur in syncing any updates made to the reservation in Airbnb and in receiving future messages from the guest, including the guest’s payment details. Also, the block won't be removed from the original listing on Airbnb, even though the newly assigned listing will be blocked. Also, you can only move the reservation to a listing under the same Airbnb account.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the icon drop-down menu and select Operations mode.
  3. Click Reservations.
  4. Click the relevant reservation.
  5. Click the three vertical dots next to "Summary". Then, click Edit Reservation.
  6. Apply the relevant changes to the reservation. Then, click Save.
