Responding to an Airbnb guest's inquiry: Pre-approvals and special offers

When an Airbnb guest sends you an inquiry, encourage them to complete their booking by pre-approving their inquiry, or by offering a special offer. Special offers are handled directly in Airbnb. Learn how to troubleshoot data discrepancies for pre-approvals and special offers.

Pre-approvals can be set for:

  • The selected dates
  • The selected number of guests
  • Price as indicated in the inquiry

Special offers can be set with:

  • A custom price
  • Different dates
  • An offer for the guest to book at another one of your properties

Pre-approvals

A potential guest can send you an inquiry by clicking “Contact host” in Airbnb’s listing page and writing you a message. A reservation with an “Inquiry” status is automatically created with the following information:

  • The selected dates
  • The total number of guests,
  • The requested property
  • The reservation’s total amount (calculated automatically)

Pre-approve the inquiry by sending the guest an invitation to book, which will automatically be approved when the guest accepts it. A pre-approved reservation overrides an advance notice period.

Pre-approvals are only valid for the same parameters selected by the guest. You can’t pre-approve different dates, number of guests, or a different price.

Pre-approving an inquiry doesn’t block the calendar for the requested dates. However, when the guest confirms their booking, the reservation will automatically be confirmed, and the calendar will be blocked.

You can send pre-approval invitations for different guests for the same property. Each guest has 24 hours to make the booking before the pre-approval expires. The first guest to confirm the invitation will have their booking confirmed, while other guests will receive a message that the dates are no longer available.

Once a reservation is confirmed, the cleaning fee is added to the guest folio breakdown. Other fees will be embedded in the nightly rate.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Operations mode.
  3. Click Reservations.
  4. Click the relevant reservation.
  5. Click Pre-approve under the "Summary" section.

You can also pre-approve an inquiry via the Inbox, by clicking the reservation widget in the right sidebar.

Special offers

Send a guest a special offer, inviting them to book at a customized price, or even suggest different dates or another one of your properties. Special offers are managed in Airbnb, and can only be sent as a response to a guest’s inquiry.

Pricing rules don’t apply to reservations booked with special offers. Fees won’t be applied to the special offer’s price. Therefore, you should include all basic fees (including cleaning fees), and additional fees, as part of the total price, but not taxes and security deposits. Also, be mindful that your Airbnb service fee is deducted from the total price.
Special offers do comply with all availability rules. Check the listing’s availability rules before sending a special offer.

The guest has 24 hours to accept your invite, during which your calendar remains available. Once the guest accepts the special offer, the reservation is automatically confirmed.
You can send special offers to different guests, even for the same property. Each guest has 24 hours to accept the offer before it automatically expires. The first guest to accept will have their reservation confirmed.

Similarly, alterations for reservations made with special offers should include all fees in the customized price (without taxes and security deposit).
