Collecting a payment manually

Once you connected your account to a payment processor, you can start collecting payments. You can either use auto payments, or insert credit card information and charge cards manually. You can either charge cards immediately or schedule the payment for a future date.

If you already used Auto payments to collect payments, but there is remaining balance on the reservation before the guests checks out, you can collect it manually.

Follow the steps below to learn how to collect a payment manually.

 

Before you begin:

  • Confirm the status of your auto payments, as you will not be able to collect manually an amount which is pending to be collected in your auto payments, you will have to cancel them first.
    If, for instance, you collected the payment before the booking confirmation, Auto payments will not work. 
  • Confirm there is a valid payment method for your reservation. If, for instance, your listing is assigned to a different payment processor after the card was added, you will need to re-add the credit card information in order to complete a manual payment.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector, and select Financials mode.
  3. Click Reservations.
  4. Select the relevant reservation.
  5. Click Balance due / Payout in the gray banner at the top of the page.
  6. Scroll down to the "Payments" section.
  7. To the right of "Payments", click New Payment.
  8. Fill in the amount and the date information.
  9. Under "Payment method":
    • If one credit card is attached to the reservation: click Save if you scheduled the payment for a future date, or Charge now if the payment is due for the current date.
    • If more than one credit card attached: Click Present reservation payment methods and from the dropdown menu, select the relevant card.
      • Click Save if you scheduled the payment for a future date, or Charge now if the payment is due for the current date.
    • If no credit card is attached, or to add a new card: Click Present reservation payment methods and from the dropdown menu, select New credit card.
      • Fill in the credit card information.
      • Click Save if you scheduled the payment for a future date, or Charge now if the payment is due for the current date.

In the pop-up, you can edit the amount of the payment by clicking in the designated field and you can edit the payment date by clicking on the calendar icon. If the payment fails, cancel the failed payment from the reservation and recollect the payment.

Note:

Payment processors will collect the amount as entered in the pop-up. If there is a tax you wish to add, you will need to calculate the total amount with the tax and enter that amount instead.
