Collect valuable information from your guests, such as their names, email addresses, and mobile numbers, by sending a check-in form before their arrival. After you create a template, you can send the check-in form to the guest automatically or manually following the instructions below.
Limitations
Some booking channels block links in messages to guests if the reservation is not confirmed.
Booking.com does not allow messaging links to guests.
Check-in forms can only be sent up to one day after check-in. After that, the link will expire.
If the guest already filled out the form, you will not be able to resend it. Additional information will need to be collected via email or another form of communication.
After it is sent, the form will not update if the reservation changes. If needed, create a new form.
Send check-in form automatically
You set up when you want to check-in form to be sent ahead of time by adding a link to the form in an automated message. Automated messages can only be sent to confirmed reservations. Follow the instructions below.
Step by step:
- Sign in to your Guesty account.
- Create a message automation or use an existing message automation. Add a message that is configured to be sent X days before check-in and at least five minutes after reservation confirmation, to allow time for the variable to populate.
- In the message content, include the variable {{checkin_form}}. The message will look like this:
Hi {{guest}},
We look forward to welcoming you to our {{listing}}. We kindly request that you complete the following form before your arrival.
{{checkin_form}}
Regards,
{{host_first}}
The {{checkin_form}} variable will be replaced by a link to the form when the message is sent, and your guest will be able to click it to access and fill out.
Send the check-in form manually
Step by step:
- Sign in to your Guesty account.
- In the top navigation bar, click the Inbox icon to the left.
- From the left sidebar, click Guests inbox.
- Select the relevant guest's conversation from the conversations list.
- In the widget sidebar on the right, click the icon.
- Click Send check-in form.
