Collect valuable information from your guests, such as their names, email addresses, and mobile numbers, by sending a check-in form before their arrival. After you create a template, you can send the check-in form to the guest automatically or manually following the instructions below. 

Limitations

  • Some booking channels block links in messages to guests before the reservation is confirmed.
  • Check-in forms should be sent post-confirmation, and users are advised to review each channel's official guidelines as they may differ.
  • Booking.com does not allow messaging links to guests.
  • The recommended channels for sending the check-in form or Guest app link are SMS and email, as they typically support links. If you encounter any issues, contact us for assistance.
  • VRBO users may experience challenges with link delivery due to known technical limitations. It is recommended to reach out to VRBO support for additional guidance.
  • Check-in forms can only be sent up to one day after check-in, after which the link will expire.
  • If a guest has already filled out the form, it cannot be resent. Additional information must be collected via email or another communication method.
  • Once sent, the form will not update if the reservation details change. In such cases, create a new form.

Send check-in form automatically

You set up when you want to check-in form to be sent ahead of time by adding a link to the form in an automated message. Automated messages can only be sent to confirmed reservations. Follow the instructions below.

Step by step:

  1. Sign in to your Guesty account.
  2. Create a message automation or use an existing message automation. Add a message that is configured to be sent X days before check-in and at least five minutes after reservation confirmation, to allow time for the variable to populate.
  3. In the message content, include the variable {{checkin_form}}. The message will look like this:

    Hi {{guest}},

    We look forward to welcoming you to our {{listing}}. We kindly request that you complete the following form before your arrival.

    {{checkin_form}}

    Regards,
    {{host_first}}

The {{checkin_form}} variable will be replaced by a link to the form when the message is sent, and your guest will be able to click it to access and fill out.

Send the check-in form manually

Send the check-in form manually to guests with confirmed or pre-confirmed reservations ("Inquiry" or "Reserved" status). When sending manually, you decide when to send the form.
Follow the instructions below.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the Inbox icon to the left.
  3. From the left sidebar, click Guests inbox.
  4. Select the relevant guest's conversation from the conversations list.
  5. In the widget sidebar on the right, click the  icon.
  6. Click Send check-in form.
