Sending a check-in form to guests

If you want to get to know your guest before their stay, you can send them a check-in form before their arrival. After you create a template, there are 2 ways you can send it to the guest. Follow the instructions below based on your current needs.

Important:

  • Some booking channels block links to guests if the reservation is not confirmed.
  • Booking.com does not allow messaging links to guests. See more information here.
  • The check-in forms can only be sent up to 1 day after check-in. After that, the link will expire and the guest will not be able to fill it out.
  • If the guest already filled out the form, you will not be able to resend it. Additional information will need to be sent via email or another form of communication.
  • After it is sent, the form will not update if the reservation changes. If needed, create a new one.

Schedule when to send the check-in form automatically

You set up when you want to check-in form to be sent ahead of time by adding a link to the form and an automated message. You can configure the message to be sent X days before check-in and add a condition that it is only sent upon reservation confirmation, for example. Follow the instructions below.

Step by step:

  1. Sign in to your Guesty account.
  2. Make sure you have an automated message that can be used to send the check-in form to guests. Follow these instructions to create a new message if none of your existing messages can be used, or edit an existing message if possible.
  3. Make sure you add the variable {{checkin_form}}. The message will look like this:  

Hi {{guest}},

We look forward to welcoming you to our Luxury Apartment. We kindly request that you complete the following form before your arrival.

{{checkin_form}}

Regards,
{{host_first}}

The {{checkin_form}} variable (as well as any other variable the message has) will be replaced by the actual link to the form when the message is sent and your guest will be able to click it for easy access.

Send the check-in form on the spot

You can always send the check-in form manually to guests with confirmed or pre-confirmed reservations ("Inquiry" or "Reserved" status), when you are ready to send it - without scheduling ahead of time. Follow the instructions below.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the Inbox icon to the left.
  3. From the left sidebar, click Guests inbox.
  4. Select the relevant guest's conversation from the conversations list.
  5. In the widget sidebar on the right, click the  icon.
  6. Click Send check-in form.
