After you connect your account to a payment processor, you can start collecting payments. Use payment automations or add credit card information and collect payments manually. Charge cards immediately or schedule payment for a future date.

If payment automations collected only part of the balance, and a remaining amount is still due before the guest checks out, collect the outstanding balance manually.

Before you begin

  • Confirm there is a valid payment method for the reservation

If your listing is assigned to a different payment processor after a card was added, re-add the credit card details to process manual payments.

  • Confirm the status of your payment automations

You cannot collect an amount manually if it is still pending for collection through payment automations. Cancel pending payment automation rules before collecting manually. If you collected a payment before booking confirmation, payment automations do not trigger.

The "Collect the Remaining Balance" rule automatically collects any outstanding reservation balance when the guest folio recalculates after reservation confirmation. If you manually adjust payments, this automation will no longer operate as intended.

Important:

Manual actions on reservation payments, including editing or manually charging a payment, recording a payment, or any other manual intervention, will disable payment automations.

Collect a payment manually

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector, and select Financials mode.
  3. Click Reservations.
  4. Select the relevant reservation.
  5. Click Balance due / Payout in the gray banner at the top of the page.
  6. Scroll down to the "Payments" section.
  7. To the right of "Payments", click New Payment.
  8. Fill in the amount and the date information.
  9. Under "Payment method":
    • If one credit card is attached: Click Save to schedule payment for a future date, or Charge now for immediate payment.
    • If more than one credit card is attached: Click Present reservation payment methods and select the relevant card. Then click Save or Charge now.
    • If no credit card is attached or you wish to use a new card: Click Present reservation payment methods and select New credit card. Enter the credit card information, then click Save or Charge now.

Edit the payment amount by clicking the designated field in the pop-up. Adjust the payment date by clicking the calendar icon. If the payment fails, collect the payment again.

Tip:

Review the payment amount before processing. If you need to add tax, calculate the total (including tax) and enter that amount.

Assign a payment method to a payment

Updating the payment method for an existing reservation does not update previous payments automatically. Edit existing payments or cancel and recreate payments using the updated method to make sure charges process successfully.
