Setting up Guest App check-in forms

Check-in forms help you gather essential details—like IDs, contact info, and arrival times— through the Guest App before your guests arrive. 

By automating this data collection, you save time on manual entry and ensure you have everything needed for a smooth check-in experience. You can also use this opportunity to share your terms and conditions or request marketing consent.

Guest details override

When a guest submits the form, their information syncs with the reservation guest details. This overrides existing data in Guesty.

The check-in form overrides the following:

The check-in form doesn't override:

  • Estimated time of arrival (ETA) or departure (ETD)

If a guest enters different times on the form, the reservation's ETA and ETD won't update automatically. The guest must contact you to request early check-in or late check-out.

Create or edit a check-in form

Follow the instructions below to set up a check-in form when creating or editing a Guest App, or watch our video.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Guest experience mode.
  3. Click Guest app.
  4. Click the vertical ellipsis next to the relevant Guest App and select Edit Guest App.
  5. Under "App modules", toggle on Check-in form and click the Pencil icon.
  6. Toggle on Required to mark fields as mandatory.
  7. To the right of "To-do lists for your guests", click Add item to select the information you want to collect.

    Document upload

    Let guests upload identification documents, such as a driver's license, ID, or passport.

    Note:

    The file size limit is 25MB.

    Step by step:

    1. Choose the document type:
      • A specific document: Set the exact document the guest must supply.
      • Let the guest pick: Define parameters and let the guest decide what to upload.
    2. Under "Select documents", choose the relevant options.
    3. Select which part of the document to upload (front, back, or selfie with the document).
    4. Select who should upload files (all guests, adults only, or main guest only).
    5. At the bottom-right, click Add.

    Input fields

    Collect specific details about the guest or their stay.

    Step by step:

    1. In the right-side panel, check the box for the fields you want to add.
    2. At the bottom-right, click Add.

    Note:

    This only supports custom fields created under the Reservations tab. See Setting up custom fields.

    Terms and conditions

    Present your terms and conditions to the guest.

    Step by step:

    1. Enter your text in the box. You can also add variables.
    2. Under "Agreement to terms & conditions", edit the checkbox text if needed (limit: 50,000 characters).
    3. At the bottom-right, click Apply.
    Marketing consent

    Add a checkbox for guests to opt-in to marketing materials. Note: This module cannot be mandatory.

    E-signature

    Require guests to sign the form electronically.

    • Hover at the top of a field, then drag and drop to change the order.

  8. At the top-right, click Done.
  9. Continue creating or editing the rest of the Guest App modules.
  10. Click Save Guest App.
  11. In the pop-up, enter your Guest App name. Click Copy text icon to copy the variable created.
  12. If creating a new app, check the terms and conditions box.
  13. Click Save Guest App.
