Sending rental agreements to guests automatically

Once you've created a rental agreement template, you can send it to guests to fill in and sign electronically prior to their arrival. Each time you create a rental agreement, a "variable" is created. To send agreements automatically, add the variable to an Automated Message template. A link to the rental agreement will be automatically generated inside the message when it's sent. Follow the instructions below.

Creating a new Automated Message

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Operations mode.
  3. Click Automations, and select Workflows.
  4. To create a new workflow, click New workflow in the top-right corner. Select a template or create a custom template.
  5. Set the workflow conditions and create the reservation timeline. Learn more here.
  6. On the reservation timeline, click any + icon.
  7. Fill in the relevant information for your automated message. Learn more here.
  8. Under "Message details", click Add variable. Add the rental agreement as a variable.
  9. Click Done.
  10. Click Save as draft or Save & activate in the top-right corner.

Edit an existing Automated Message

If you'd like to edit an automated message you already created in the workflow, follow the steps below.

Step by step

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Operations mode.
  3. Click Automations, and select Workflows.
  4. Click the three dots to the right of the relevant workflow, and click Edit.
  5. Click on the relevant automated message. After editing, click Done.
  6. Click Save as draft or Save & activate in the top-right corner.
Once the rental agreement is signed, the guest will receive a confirmation email containing a link to download it as a PDF, which will be active for seven days. If the file does not download when clicking the link, ask the guest to check their browser's settings to see if the download is being blocked.

Tip:

Once the rental agreement is sent, it will not update if the reservation is updated. If needed, you can create a new rental agreement.
