Managing rental agreement templates

Important:

We’re making an important update to improve your guest management process. Starting February  28th, the Check-in Form and Rental Agreement features will be phased out. Create a rental agreement template that guests can fill out and sign electronically before their arrival. Once created, you can edit or delete the template if needed. Follow the instructions below or watch our video.

Once created, you can send your rental agreement to guests automatically or manually.

Create rental agreement template

Step by Step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Guest experience mode.
  3. Click Documents and select Agreements.
  4. If you want to use our sample template, click Sample agreement at the top right to download.
  5. Click Add template, or Create new if this is not your first template.
  6. Upload the relevant agreement then click Continue.
  7. Drag fields from the left toolbar onto your document to personalize the template. For example:
    • Signature: This placeholder can be signed electronically by guests.
    • Date signed: The current date will populate when the agreement is completed by a guest. You can change the date formatting in the right toolbar.
    • Textbox: This allows you to add guest-specific details to the template. In the right toolbar, choose "assigned to sender" and select the relevant variables under "what text goes here". The variables will populate with information from the guest's reservation when the agreement is sent. You can see the full list of variables and what populates them below:

      {{guests_count}} Number of guests in the reservation. Counts adults only.

  8. Click Continue.
  9. Name the template.
  10. Click Save.

Edit rental agreement template

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Guest experience mode.
  3. Click Documents, and select Agreements.
  4. Hover over the template you want to update. At the far right, click the horizontal ellipsis .
  5. Select Edit name or Edit fields.
  6. Make the edits needed, then click Continue.

Delete rental agreement template

A rental agreement template can be deleted if all of the agreements you sent out have been completed by the guest. If any are still waiting to be filled out and are not in "completed" status, then deleting the template will not be possible.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Guest experience mode.
  3. Click Documents, and select Agreements.
  4. Hover over the template you want to update. At the far right, click the horizontal ellipsis .
  5. Select Delete.
  6. In the pop-up, click Yes, delete.
