Understanding the Reservation Duplicate Detector agent

The Reservation Duplicate Detector agent scans your upcoming reservations to find bookings that look like duplicates of each other—for example, when a guest books the same stay twice on two different channels. When the agent finds a suspected duplicate, it posts a report in the activity feed with a recommended action.

This agent is a reporting tool and doesn't take any action on its own, such as merging or canceling reservations.

Understand the Reservation Duplicate Detector agent

The Reservation Duplicate Detector agent runs automatically every Monday at 08:00. The agent can also be triggered manually.

During each run, the agent does the following:

  1. Scans your upcoming reservations.
  2. Identifies suspected duplicate groups: two or more bookings for the same property with identical check-in and check-out dates.
  3. Checks the guest ID on each reservation to confirm the bookings belong to the same guest.
  4. Creates a report in the activity feed listing each suspected duplicate group, along with a confidence level and a recommended action.

The agent excludes group bookings where all reservations share one group ID.

Run the Reservation Duplicate Detector agent manually

In addition to the scheduled run, you can trigger the agent manually at any time from the Agents hub.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select Agents hub icon Agents hub.
  3. At the top, select the Operations tab.
  4. Click the Reservation Duplicate Detector tile.
  5. Under "When it runs", click Run now.

Review the results and status of the run in the activity feed.

Review the activity feed

The activity feed shows a history of when the agent has run and a summary of its findings.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select Agents hub icon Agents hub.
  3. In the left submenu, click Agent activity.
  4. Click the relevant row with the agent's name to review the report details in the right-side panel.

Understand the report status and details

Each report is assigned one of the following statuses:

  • Done: The scan completed successfully, and no potential duplicates were found.
  • Action needed: Potential duplicates were found and require your review.

Each report shows how many upcoming reservations the agent scanned and how many suspected duplicate groups it found. For each group, the report includes:

  • Check-in and check-out dates
  • Every confirmation code in the group, with its booking channel
  • A confidence level
  • The recommended action

Click a confirmation code to open the reservation.

Confidence levels and recommended actions

The agent assigns one of three confidence levels to each suspected duplicate group:

  • "High": The bookings are on different channels and share the same guest record. The agent recommends canceling the duplicate reservation and specifies which one.
  • "Medium": The bookings are on different channels, and the guest records differ or are missing. The agent recommends confirming the bookings are for the same guest. If they are, manually merge the guest contact profiles, then contact us to delete the extra contact.
  • "Low": The bookings are on the same channel with different confirmation codes. The agent recommends manual review only.

When the agent identifies a booking to cancel, it selects the manual or direct booking if one exists. Otherwise, it selects the most recently created booking.
