Beta: Updating a reservation's guest folio

Important:

If you have our new owner reservation page, you cannot adjust or add line items on owner reservations.

When guests book a reservation they receive a set of services from you that they pay for. Their main payment is the accommodation fare, but they might need to pay taxes, and there could also be additional fees (if the property has a pool, for example). These services are called "line items", and they make up the reservation folio, which is called the "guest folio breakdown".

You can update the guest folio by changing the price of a service that is already part of the reservation or by adding a new service. Follow the instructions below based on your current needs. 

Adjust a line item

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Operations mode.
  3. Click Reservations.
  4. Select the reservation with the service that needs a price update (filters above the table to the left and columns to the right can help you search).
  5. In the banner at the top, click Balance due.
  6. Find the guest folio breakdown, and click Adjust line item - each service is a line item in the folio.
  7. Fill out the information in the pop-up, and click Adjust:
    • Select the line item you want to adjust.

    • Choose how much money you want to add or remove from the price.

    • Choose the realization date, which is when the price change should be attributed to the reservation. 

      Note:

      If you do not use our Accounting solution, and the item is adjusted before check-in, the default realization date is check-in. If it is adjusted after check-in, the default realization date is the date the change was made.

      If you do use our Accounting solution, the realization date is the recognition date of this listing's business model.

The price adjustment will appear on the realization date as a single line item (under the original item) and will not be broken down into nightly rates, even though prices are presented in the folio per night.

Example: If you take $20 off a baby crib fee, the entire discount will be recognized on the realization date, even though the crib is used equally every night and the original fee is broken down per night.

Add a line item

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Operations mode.
  3. Click Reservations.
  4. Select the reservation you need to add a service to (filters above the table to the left and columns to the right can help you search).
  5. In the banner at the top, click Balance due.
  6. Find the guest folio breakdown, and click Add line item - each service is a line item in the folio.
  7. Fill out the information in the pop-up, and click Confirm:
    • Select the line item you want to add.

    • Choose how much the guest should pay for it.

    • Choose the realization date, which is when the new line item should be attributed to the reservation

      Note:

      If you do not use our Accounting solution, and the item is added before check-in, the default realization date is check-in. If it is added after check-in, the default realization date is the date it is added.

      If you do use our Accounting solution, the realization date is the recognition date of this listing's business model.

The price for the new service will appear on the realization date as a single line item and will not be broken down into nightly rates, even though other prices in the folio are presented per night.

Example: If you add a baby crib fee, the price for the fee will be recognized on the realization date, even though the crib is used equally every night.
