Pilot: Viewing tasks across sub-accounts from an HQ account

When you manage several sub-accounts from your HQ account, checking each sub-account separately to follow up on operations takes time. The HQ tasks report lists the tasks from every sub-account you have access to in one place. An operations summary above the list shows task counts for each sub-account.

The tasks stay on their own sub-accounts. In the HQ account, you can view tasks and go to them. To assign or edit a task, open it on its sub-account.

Limitations

Keep the following limitations in mind when using the HQ tasks report:

  • You can't change a task's assignee or edit tasks from the HQ account.
  • Share, print, and CSV export aren't available in the HQ tasks report.
  • Custom fields and partner columns don't appear when the list includes more than one sub-account.

Permissions

To view the HQ tasks report, you need the Tasks read permission. Keep the following in mind:

  • The report includes only the sub-accounts you have access to.
  • To save or delete a view, you need the same view permissions as on a sub-account.

Understand the tasks report

The HQ tasks report provides a clear overview of your team's operations. It includes an operations summary and a detailed task list.

Operations summary

The operations summary appears above the task list. It shows how many tasks each sub-account has for the period you choose. To change the period, click Last 30 days above the summary table and select 7, 30, or 90 days.

The summary table includes the following default columns:

  • Sub-account: The relevant sub-account
  • Open: Tasks that are still pending or in progress
  • Overdue: Tasks that passed their end date without being finished
  • Created: Tasks created within the selected date range
  • Completed: Tasks that have been finished

Click a sub-account in the summary to show only its tasks. This adds a Sub-account filter to the list and hides the summary. To show the summary again, clear the Sub-account filter.

Task list

The task list works like the tasks report in a sub-account, with a few differences:

  • The Sub-account column shows which sub-account each task belongs to.
  • The Sub-account filter lets you narrow the list to one or more sub-accounts.
  • Clicking a task opens it on its sub-account in a new tab, so you can work on it there.

Saved views

Views you save in the HQ tasks report belong to the HQ account. They don't appear in sub-accounts, and views saved in sub-accounts don't appear in the HQ account.

The "Tasks" submenu on the left organizes views into the following tabs:

  • All: Every view you have access to
  • Favorites: Views you've marked as favorites
  • System: Pre-built views provided by Guesty
  • User: Views you've created and saved

In the top-right corner, click Discard to remove all applied filters and added columns. Click Save as to save your changes as a new view. In the pop-up, check the Add to favorites box to also add it to the Favorites tab. Click Save report.

View and manage the HQ tasks report

Follow the steps below to view tasks across your sub-accounts.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, click the Operations widget icon Tasks.
  3. Choose a report to view from the "Tasks" submenu on the left.
  4. To open a task on its sub-account, click its row in the task list.

Customize the task list

You can customize the task list in the following ways:

  • Click Filters and, in the pop-up, select filters and relevant values to apply. Click Apply changes.
  • Click Columns to add columns to the tasks table. These columns are added to the selected sub-account tasks table, not the general table under "Operations summary".
  • Above "Operations summary", click the applied filter's label to reconfigure its values, or click X to remove it.

Mark a report as favorite or remove a report

In the "Tasks" submenu, right-click the relevant report and select either Add to favorites or Remove from the dropdown.
