Understanding the Reservation lock advisor agent

The Reservation lock advisor agent helps you protect important reservations from being accidentally moved to another property. Once a day, the agent scans your upcoming reservations in multi-unit properties and recommends which ones to lock to their assigned property, such as reservations made by VIP guests or by guests with overlapping bookings.

The agent presents its recommendations for your approval and locks only the reservations you approve.

Note:

This agent isn't related to smart locks or access codes. Learn more about managing locks in Guesty Locks Manager.

Limitations

Review the following limitations before using the Reservation lock advisor agent:

  • Property only: The lock applies only to the reservation's assigned property, not to its dates. Updates from the booking channel still apply to the reservation.
  • Feature requirement: The agent can only lock reservations if the reservation property lock feature is enabled for your account. Otherwise, approving a recommendation fails with the error "property lock is not enabled for this account". Learn more about locking a reservation to a property.
  • Manual unlocking: The agent never unlocks reservations. When a locked reservation is canceled or checked out, the agent lists it in its report, and you must unlock each one manually.
  • Permissions: To approve or decline the agent's recommendations, you need permissions to lock reservations to properties and unlock them.

Understand the Reservation lock advisor agent

The Reservation lock advisor agent runs automatically once a day. During each run, the agent does the following:

  1. Scans up to 2,500 of your nearest upcoming confirmed reservations.
  2. Recommends reservations to lock, according to the following criteria:

    • The guest has the VIP tag. VIP is the default tag, and you can configure a different one.
    • The same guest has another booking with overlapping dates.

Reservations in single-unit properties are never recommended.

  3. Creates an approval card in the Agent activity feed with up to 20 recommended reservations, starting with the nearest check-in date.
  4. Waits until every reservation on the card is approved or declined.
  5. Locks the approved reservations to their assigned property. Declined or unanswered reservations are recommended again on the next run.

In the reservation's activity log, the lock appears as "The reservation's property was locked", with "Open API" as the team member instead of the agent's name.

Run the Reservation lock advisor agent manually

In addition to the daily run, you can run the agent manually at any time from the Agents hub.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select the Agents hub icon Agents hub.
  3. At the top, select the Operations tab.
  4. Click the Reservation lock advisor tile.
  5. Under "When it runs", click Run now.

Review and act on lock recommendations

When the agent finds reservations to lock, it creates an approval card in the Agent activity feed. Approve or decline each reservation on the card so the agent can complete its run.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select the Agents hub icon Agents hub.
  3. In the left submenu, select Agent activity.
  4. Click the relevant Reservation lock advisor row to open the approval card in the right-side panel.
  5. For each reservation on the card, do one of the following:
    • Click Approve to lock the reservation to its assigned property.
    • Click Decline to skip the reservation for this run.

Understand the agent's report

Each run creates a report in the Agent activity feed. The report has one of the following statuses:

  • "Done": The agent completed its run.
  • "Action needed": The agent recommended reservations to lock and is waiting for you to approve or decline them.

The report includes the following details:

  • How many upcoming reservations the agent checked, for example, "Checked all N upcoming reservations" or "Only the nearest X of Y upcoming reservations could be checked".
  • Reservations that were locked.
  • Reservations that couldn't be locked, and the reason for each.
  • Reservations that are still left to lock.
  • Locked reservations that were canceled or checked out in the last 30 days. The agent checks up to 500 canceled reservations and 1,500 past stays.
