Pilot: Understanding the Multi-unit gap reassignment agent

Reservations spread across sub-units on a multi-unit property can leave gaps too short to sell, such as a single night between two stays. Unassigned reservations may also wait for a sub-unit. Rearranging stays by hand across many sub-units is slow and easy to get wrong.

The Multi-unit gap reassignment agent checks each multi-unit property's whole calendar at once. It suggests the smallest set of moves between sub-units to open up longer sellable stretches. Review each suggestion and decide whether to apply it.

Limitations

Review the following limitations before using the Multi-unit gap reassignment agent:

  • Look-ahead period: The agent only checks reservations within the next 90 days.
  • Reservation eligibility: The agent doesn't move:
    • Owner or owner-guest stays
    • Locked reservations
    • Reservations with guest requests or preferences
    • Guests who have already checked in
    • Stays split across sub-units
    • Reservations checking in within the next two days
  • Move complexity: A single suggestion can include up to six moves. The agent never swaps two reservations with each other.
  • Suggestion limits: An approval card holds up to 20 suggestions. The agent suggests anything beyond that again on the next run.

Understand the Multi-unit gap reassignment agent

The agent is triggered manually. During each run, the agent does the following:

  1. Scans reservations on the sub-units of every multi-unit property on your account.
  2. Finds a sub-unit for unassigned reservations first.
  3. Looks for moves that free up nights too short to sell, using as few moves as possible.
  4. Puts all suggestions from the run on a single approval card. One card can include moves on different properties and several moves on the same property.

The agent respects each sub-unit's preparation time, minimum nights, and calendar blocks. Minimum nights include date-specific minimum stays.

The agent only moves reservations between active, listed sub-units of the same multi-unit property. It doesn't move reservations into a sub-unit that has no reservations within the 90-day window.

Review the activity feed

Follow the steps below to review your activity feed, which shows a history of every time the agent has run.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select Agents hub icon Agents hub.
  3. In the left submenu, click Agent activity.
  4. Click the relevant row with the agent's name to review the report details in the right-side panel.

Understand the run status and summary

Each run has one of the following statuses in the activity feed:

  • "Action needed": The agent found suggestions that are waiting for your decision on the approval card.
  • "Done": The run is complete.
  • "Expired": You didn't respond to the approval card before it expired.

If nothing is worth moving, the run shows "No reservations need to move right now."

The run summary lists:

  • Reservations the agent moved, with a link to each one.
  • Suggestions you declined.
  • Suggestions you didn't approve or decline.
  • Suggestions that didn't fit on the approval card.
  • The calendar changed after the agent made the suggestion. Run the agent again to get fresh suggestions.
  • Reservations the agent moved but couldn't move back automatically.

Review and act on suggestions

All suggestions from a run appear on one approval card. Approve or decline each suggestion separately. Nothing changes on your calendar until you approve a suggestion. You have 24 hours to respond before the card expires.

Check suggestions before approving

  • Dependent moves: When moves depend on each other, the card shows them as a single suggestion, such as "Move N reservations together." Approve or decline them together. The agent applies them in the order shown.
If Guesty rejects a step, such as when a new booking arrives after the suggestion, the agent moves back the steps it already completed. Your calendar stays as it was.
  • Different owners: When the two sub-units have different owners, the suggestion shows a note, such as "Note: units X and Y have different owners." Check these suggestions before approving, because owner revenue follows the sub-unit.

Understand what changes after a move

When you approve a move, the following updates happen automatically:

  • Internal note: The reservation gets an internal note saying the agent moved it and you approved the move.
  • Smart locks: Guesty regenerates smart-lock access codes for the new sub-unit. Learn more about Guesty Locks Manager.
  • Tasks: Guesty recalculates cleaning tasks for the new sub-unit.
  • Owner revenue: Revenue from the reservation goes to the new sub-unit's owner.
  • Booking channels: Guesty doesn't push the change to Airbnb, Booking.com, or Vrbo. For direct bookings, the price stays the same.
