The Early check-in manager agent helps you improve the guest experience by proactively offering an early check-in. The agent identifies when a property is clean and ready for an arriving guest, then asks for your approval to send a message letting them know they can check in early at no extra charge.
The agent provides an instruction to ReplyAI, which then writes and sends the final message in the guest's language ansends itnt through their usual communication channel. You always have the final say, as no message is sent without your approval.
Important:
Your Guesty account must have ReplyAI activated.
Limitations
Review the following limitations before using the Early check-in manager agent:
- Cost: The agent always tells guests that early check-in is available at no extra charge. It can't be used to offer early check-in for a fee.
- Cleaning status: The agent relies on the property's cleaning status being accurate, and treats "Clean" as ready for the guest. Other statuses, including "Waiting for inspection", don't count as clean.
- Legacy activation: If you activated this agent before October 7, 2026, deactivate it and then reactivate it. This gives you the Run now option and the cleaning-status trigger.
Understand the Early check-in manager agent
The agent runs:
- Automatically every hour.
- When triggered manually.
- When a property's cleaning status changes. These runs check only that property.
During each run, the agent does the following:
- Finds confirmed reservations arriving later that day.
- Checks whether each guest qualifies. A guest qualifies only if all of the following are true:
- It's 12:00 PM or later in the property's time zone, and it's still before the property's check-in time. If a property is cleaned in the morning, the first hourly run after 12:00 PM picks it up.
- The property's cleaning status is "Clean".
- No previous guest is still staying at the property, based on their stay status. If a previous stay still overlaps, the guest is held.
- The guest hasn't already been told they can check in early.
- The guest isn't waiting for a reply from you in the Guesty Inbox.
- There are no open complaints associated with the reservation.
- Creates one approval card in the Agents hub listing every qualifying guest, up to 25.
- Passes each instruction you approve to ReplyAI after a final check of the guest's conversation.
The agent won't send a message to a guest without your explicit approval. If you decline a suggestion or the approval request expires, the guest isn't notified. The agent won't message a guest before 12:00 PM in the property's local time zone.
Note:
If you decline a suggestion or let it expire, the guest isn't remembered as "declined". The agent will propose them again on the next hourly run if the reservation still qualifies.
Run the Early check-in manager manually
In addition to the scheduled run, you can trigger the agent manually at any time from the Agents hub.
Step by step:
- Sign in to your Guesty account.
- In the side navigation menu, select
Agents hub. - At the top, select the Operations tab.
- Click the Early check-in manager tile.
- Under "When it runs", click Run now.
Review the results and status of the run in the activity feed.
Review the activity feed
Follow the steps below to review your activity feed.
Step by step:
- Sign in to your Guesty account.
- In the side navigation menu, select
Agents hub. - In the left submenu, select Agent activity.
- Click the relevant row with the agent's name to review the report details in the right-side panel.
Understand the report status and details
Each item on the approval card shows the guest, the property, the check-in date, and the suggested instruction ReplyAI will receive. The card shows the instruction, not the final wording of the message. The card expires 55 minutes after it's created.
The report includes the following information, depending on your approval and the reservation's eligibility status:
- A list of all approved messages successfully sent to guests.
- Unapproved messages needing your attention.
- Guests whose early check-in offers you declined or let expire.
- Guests who qualified for an offer, but the message was held back. This happens if the guest sends a new message or complaint after the agent generates the approval card, but before it sends the offer.
Review and act on early check-in suggestions
For each guest, choose one of the following:
- Approve: Send the instruction to ReplyAI as it is.
- Edit: Change the instruction before approving it.
- Decline: Don't send a message to this guest.
What happens after you respond
Approved guests: Just before sending, the agent re-reads the guest's conversation. It holds the message if, after the card appeared, any of the following happened:
- The guest wrote with a question.
- The guest wrote with a complaint.
- Someone else already told the guest they can check in early.
Otherwise, ReplyAI writes the message in the guest's language and sends it on the channel they usually use.
Declined or expired guests: The guest isn't told anything.
Note:
The agent doesn't remember declined guests. It suggests them again on each hourly run until check-in if they still qualify.
