The Insufficient funds detector agent helps you manage your accounting by flagging owner expenses that have failed due to insufficient funds. The agent provides a report that helps you collect the outstanding amounts and record them in the posting journal.
This process helps resolve payment failures, which can occur when Guesty automatically blocks transactions if an owner doesn't have enough funds to cover an expense. You can learn more about blocking owner transactions.
Understand the Insufficient funds detector agent
The Insufficient funds detector runs automatically once a month. You can also trigger the agent manually at any time to update the report.
The agent performs the following actions:
- Scans your owners' charges and expenses for failures caused by insufficient funds.
- Identifies and lists owners with pending flagged expenses.
- Delivers a report with direct links to the posting journal for you to review and take action.
Note:
The Insufficient funds detector provides suggestions and reporting only. The agent doesn't make financial adjustments or contact owners automatically.
Run the Insufficient funds detector manually
Trigger the Insufficient funds detector manually from the Agents hub whenever you need an immediate check outside the scheduled monthly run.
Follow these steps to run the agent manually:
- Sign in to your Guesty account.
- In the side navigation menu, click
Agents hub. - In the left submenu, click Discover agents.
- At the top, select Accounting tab.
- Click Insufficient funds detector.
- Under “When it runs,” click Run now.
Review the results and status of the run in the activity feed.
Review the activity feed
Follow these steps to review the activity feed:
- Sign in to your Guesty account.
- In the side navigation menu, click
Agents hub. - In the left-side menu, click Accounting assistance.
- Click the relevant row with the agent's name to review the report details in the side panel.
Understanding report statuses and details
Find your generated report in the activity feed after each run.
Reports display one of these statuses:
- "Done": The scan detected no failed owner expenses.
- "Action needed": One or more owner expenses failed due to insufficient funds. These require manual action.
Each generated report includes:
- Owner name with a direct link to the owner profile
- Pending expense details
- Total amount due
- Direct link to the posting journal
Resolve flagged expenses
If the activity report shows the "Action needed" status, follow these steps:
Step by step:
Review the flagged owners and their pending expense totals in the report.
- Click the owner's name in the report to open the contact page in the owner profile. Reach out directly to request payment.
- Once you collect the outstanding amount, click Posting journal in the report to record the collected funds.
