ACH payment requirements for owners and vendors

This article explains how to confirm that owner and vendor profiles contain the required information for successful ACH transfers. Following these verification steps helps you prevent payment failures and transaction delays in Guesty Accounting.

Review ACH requirements

Confirm that the owner and vendor profiles contain the mandatory data before you send a direct ACH transfer. Missing information causes the transfer to fail.

Physical address requirement

Provide a valid, verifiable physical street address. This is a compliance requirement to ensure all parties are legitimate. If the account holder type is "Business", enter the business's physical address. If it is "Individual", enter the individual's personal physical address.

Note:

P.O. Boxes are not accepted and will cause a validation error. However, Diplomatic Post Office (DPO) addresses are accepted as they are tied to a verifiable physical location, like an embassy or consulate.

Your address must meet the following requirements:

  • Street address: Must be between 5 and 200 characters and contain at least one non-numeric character
  • City and administrative area: Required for all payouts
  • State: Valid state code required (e.g., NY for New York)
  • Zip code: 5 digits or the 5+4 format (e.g., 12345 or 12345-6789)
Additional profile requirements
Requirement Status Description
Payout method Mandatory Must be set to ACH/NACHA.
Bank account number Mandatory The unique identifier for the recipient's bank account.
Routing number Mandatory The nine-digit code identifying the specific financial institution.
Account holder type Mandatory Specify if the account belongs to an Individual or a Business.
Email address Mandatory Used for automated payment notifications and error reporting.
Beneficiary name Mandatory The name on the bank account must match the profile name exactly to avoid "mismatch" errors.
Phone number Optional Helpful for record-keeping but doesn't block the transaction.

Prevent payment failures

Ensure these system conditions are met to prevent delays:

  • Available balance: Confirm your trust or cash account has sufficient funds.

  • Account verification: Ensure your own bank account is fully verified via micro-deposits.

  • Whitelist status: Some banks require you to whitelist the ACH Originator ID. If a transfer is rejected, provide your bank with the Company Name "AIRWALLEX" and Company ID "1371913769".

Verify payout readiness in the balances report

Use the filters and columns in the balances report to confirm that the correct payout method is selected and all required information is on file before you initiate a payment.

Add payout column to the balances report

Follow the steps below to add the payout column to the report:

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, click icon Accounting to open the dropdown menu.
  3. Under General ledger, select Trial balances.
  4. In the top-left corner, select Vendors or Owners balance.
  5. In the top-right corner, click Columns.
  6. Toggle on Payout information.

Resolve missing payout details

Follow the steps below to locate and complete profiles that are missing payout details:

  1. Click the circle plus icon and search for the "Payout data available" filter.
  2. Toggle No. 
  3. On the owner or vendor line, under "Payout information", click Add. 
  4. In the new window that opens, enter the vendor or owner details.
  5. Refresh the balances report to show the updated data, then proceed with your ACH transfer.


Resolve missing payout address

Follow the steps below to locate and complete profiles that are missing physical addresses:

  1. Click the "Payout data available" filter and toggle Yes.
  2. Click the circle plus icon and search for the "Payout method" filter.
  3. From the dropdown menu select ACH/NACHA then click Save.
  4. Under "Payout information", look for owners or vendors with "Address required for NACHA" noted.
  5. Click the Pencil icon
  6. in the new window that opens, enter the vendor or owner address.
  7. Refresh the balances report to show the updated data, then proceed with your ACH transfer.
