When you collect a payment, such as cash, outside of Guesty, you record it to make sure the reservation's payments are accurate and up to date. When you record the payment, you enter the details, such as the amount and date - manually. If you entered the wrong amount or if you need to choose a different date, for example, follow the instructions below.
Step by step:
- Sign in to your Guesty account.
- In the top navigation bar, click the mode selector and select Operations mode.
- Click Reservations.
- Find the reservation with the relevant payment and click it (you can use filters above the table to the left and columns to the right to narrow your search).
- In the banner at the top of the page, click payout Status.
- In the "Payments" section, find the relevant payment (should say Recorded payment under "Transaction type").
- At the right end of the row, click Actions and select Edit payment (will not be available if the payment is in a locked accounting period).
- In the pop-up, make the necessary changes.
- Click Save.
Canceling a recorded payment
Payments collected outside of Guesty can be recorded to update the reservation balance. If a payment was recorded incorrectly or by mistake, you can cancel it. Follow the instructions below.
Step by step:
- Sign in to your Guesty account.
- In the top navigation bar, click Reservations.
- Click the relevant reservation.
- In the banner at the top of the page, click Balance due/Payout.
- Find the "Payments" section.
- On the relevant payment line, click Cancel payment.
- In the pop-up, click Yes, cancel payment.
Step by step:
- Sign in to your Guesty account.
- In the top navigation bar, click More and then select Reservations from the dropdown.
- Click the relevant reservation.
- In the banner at the top of the page, click Balance due/Payout.
- Find the "Payments" section.
- On the relevant payment line, click Cancel payment.
- In the pop-up, click Yes, cancel payment.
The amount canceled will be automatically added to the reservation's balance due.
