Best practices for guest code activation (Guesty Locks Manager)

Set guest code activation before the estimated time of arrival (ETA)

You can update your default lock code settings including the guest code activation time. Setting the guest code activation before the default ETA time allows guests who arrive a bit earlier to be able to access the property.

Example:

Property check-in time is 15:00. Code activation time is set to 30 minutes before ETA, allowing guests to use their code at 14:30.

Scheduled early arrivals

For scheduled early arrivals, the guest ETA should be updated in the reservation. The code activation time will be automatically based on the new ETA, however it will not change immediately. Allow up to 20 minutes for the time to be updated after the reservation is updated.

Example:

Property check-in time is 15:00. Code activation time is set to 30 minutes before ETA.

In the reservation, you've updated the guest ETA to 13:00 for a scheduled early arrival. The guest code will be activated at 12:30 based on the reservation ETA and the code activation time.

Unexpected early arrivals

If a guest unexpectedly arrives earlier than the activation time, you can change the reservation ETA retroactively. The code activation time will be updated to the time the change was made plus one minute.

Example:

Property check-in time is 15:00. Code activation time is set to 30 minutes before ETA, at 14:30.

Without requesting early check-in, the guest arrives at 12:00 and contacts you. At 12:02 you change the reservation ETA to 12:00. The code activation time updates to 12:03 (time the change was made + one minute).

Advise the guest to allow up to 20 minutes for the code activation time to be updated.

Use team member code as backup option

As a backup option, to give the guest immediate access, you can share a team member code.

For security, we recommend deleting a team member code that is shared with a guest, since team member codes do not expire. You can always create a new team member code as needed.
