What's happening
- The property had no reservation activity or financial transactions during the calendar month.
- Reservation revenue was recognized in a different month based on check-in or check-out settings.
- Financial transactions were posted or reprocessed after the automated statement generation date.
- A reservation is missing an accounting folio because the listing wasn't assigned to a business model when the booking was created.
- A reservation is missing an accounting folio because the listing does not have an owner defined.
How to fix it
Verify reservation and manual transaction activity
Owner statements don't generate automatically when an owner has zero income and zero expenses for a specific month.
Check if the owner had any confirmed reservations or manual transactions across all assigned listings, including sub-units of multi-units, during the missing month:
- No reservations and no manual transactions: Guesty doesn't generate a statement because the balance due is $0.00. You can generate the statement manually if needed.
- No reservations, but at least one manual transaction: A statement should generate automatically. Proceed to verify your posting dates.
- At least one reservation exists: Proceed to review your revenue recognition settings.
Tip:
You can customize the owner statement template to generate statements for owners even when the monthly balance is zero.
Check revenue recognition settings
- Revenue recognized at check-in: All revenue attributes to the check-in month and appears on that month's statement. For example, a reservation from May 25 to June 5 attributes entirely to the May owner statement.
- Revenue recognized at check-out: All revenue attributes to the check-out month and appears on that month's statement. For example, a reservation from May 25 to June 5 attributes entirely to the June owner statement.
- Nightly revenue recognition: Revenue is attributed nightly. For example, a reservation from May 25 to June 5 will appear on both the May and June owner statements.
Review transaction creation and posting dates
If transactions process through your business model after the automated monthly statement generation run, the system excludes them from that run.
Follow the steps below to check when transactions were created in the general ledger.
Step by step:
- Sign in to your Guesty account.
- In the top-right menu, click the mode selector, and select Accounting.
- Click General ledger, then select Posting journal.
- Locate a reservation you expected to see on the missing statement. Use the table filters to filter by the relevant listing.
- In the top-right corner above the table, click Columns, then toggle on Creation date.
- Compare the Creation date against the auto-generation date of the missing statement.
Resolve missing accounting folios
If a listing is assigned to a business model but a specific reservation lacks an accounting folio, the booking was likely created before the listing was assigned to the model.
To resolve a missing accounting folio, reprocess the listing from the business model settings.
