Understanding the Listing ownership gap finder agent

Missing property owners can throw off month-end owner statements and payouts. The Listing ownership gap finder agent catches this early by identifying active properties that don't have an owner assigned.

The agent is read-only: it only flags ownership gaps and never assigns owners, activates owners, or changes your property setup automatically.

Limitations

Review the following limitations before using the agent:

  • Active listings only: Inactive or unlisted properties aren't scanned.
  • Ownership percentage not checked: The agent only flags a property if it has no owner or if all assigned owners are inactive. It doesn't check for missing or zero ownership share percentages.
  • Listing scan cap: For accounts with a very large number of properties, the scan may be limited to approximately 100 listings. Treat a report from a truncated scan as incomplete, not necessarily an all-clear.

Understand the Listing ownership gap finder agent

The agent runs automatically twice a month, on the 15th and 25th, at UTC midnight. You can also trigger it manually at any time.

During each run, the agent:

  1. Scans all of your active properties
  2. Checks each property to see if it has an owner assigned
  3. Verifies that at least one of the assigned owners is active
  4. Generates a report that flags any properties with an ownership gap

A gap occurs when:

  • No owner assigned: The property has no owner linked to it
  • Owner is inactive: Every owner linked to the property is inactive

Note:

Properties with fractional ownership (multiple owners) aren't flagged as long as at least one of the assigned owners is active. Learn more about assigning fractional ownership to properties.

Run the Listing ownership gap finder manually

In addition to the scheduled run, you can trigger the agent manually at any time from the Agents hub.

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select Agents hub icon Agents hub.
  3. In the left submenu, click All agents.
  4. At the top, select the Owner relations tab.
  5. Click the Listing ownership gap finder tile.
  6. Under "When it runs", click Run now.

Follow the steps below to review your activity feed.

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select Agents hub icon Agents hub.
  3. In the left submenu, click Agent activity.
  4. Click the relevant row with the agent's name to review the report details in the right-side panel. 

Understand the report and details

The report summarizes how many active properties were scanned and how many have an ownership gap.

If the agent finds gaps, the report includes the following details for each flagged property:

  • Listing nickname (with a link to the property page, when available)
  • Address
  • Gap reason: "No owner assigned" or "Owner is inactive"
  • Date the property was added

If the agent finds a large number of gaps, the report lists a sample of the flagged properties and notes how many more need an owner assignment. If it finds no gaps, the report shows an all-clear message, confirming that every active property has a complete ownership setup.

Review and act on flagged ownership gaps

When the agent flags a property, manually assign an active owner to it.

  1. Sign in to your Guesty account.
  2. Resolve the gap using one of these methods:
    • Select the relevant owner, and under "Properties," assign the property to them
    • Go to the relevant property's page and assign an owner from there

Note:

A property that is tied to an accounting business model must have at least one active owner assigned to it.
