The Maintenance Tracker agent analyzes your task history to identify properties with recurring maintenance issues. This helps you find problems that require a permanent solution rather than another temporary repair.
The agent is a read-only tool. It surfaces patterns in your task history and reports them, but doesn't create, edit, or delete any of your maintenance tasks.
Note:
Unlike the Stale Task Detector, which only looks at open tasks, the Maintenance Tracker includes completed tasks as well, because a closed repair might still represent an instance of an issue.
Limitations
- The analysis window is 60 days by default, but is configurable per run.
- All maintenance tasks in the window are included regardless of status, except for cancelled tasks.
- Unrelated one-off repairs don't qualify — the agent looks for a repeating fault, not simply a busy property.
Understand the Maintenance Tracker agent
The Maintenance Tracker agent runs automatically once a week on Mondays at 08:00. The agent can also be triggered manually.
During each run, the agent does the following:
- Scans your task history across all your properties within the configured window (60 days by default).
- Groups the tasks by property and classifies each task into one of six issue types based on the task title: AC/HVAC, plumbing, locks/access, Wi-Fi, appliances, and other.
- Identifies "chronic" properties: properties with three or more maintenance tasks in the window, where at least two of those tasks fall within the same issue type. Both conditions must be met.
- Generates a ranked report that lists the properties with the most recurring issues first.
Run the Maintenance Tracker agent manually
In addition to the scheduled run, you can trigger the agent manually at any time from the Agents hub.
Step by step:
- Sign in to your Guesty account.
- In the side navigation menu, select
Agents hub. - At the top, select the Operations tab.
- Click the Maintenance Tracker tile.
- Under "When it runs", click Run now.

Review the activity feed
Follow the steps below to review your activity feed.
Step by step:
- Sign in to your Guesty account.
- In the side navigation menu, select
Agents hub. - In the left submenu, select Agent activity.
- Click the relevant row with the agent's name to review the report details in the right-side panel.
Understand the report status and details
Each run finishes with one of the following statuses:
- "Done": The run completed successfully and no chronic properties were found. Properties may still have had maintenance tasks in the window, but none met the criteria for a recurring issue.
- "Action needed": At least one chronic property was found. The message shows how many.
If the scan reaches its processing cap, the report opens with a note that the list may be incomplete, and the run is flagged as not having covered everything.
The report begins with the total number of properties that had maintenance tasks during the window, followed by two sections:
- "Chronic properties": Properties that meet the chronic criteria.
- "Other properties with maintenance tasks": Properties that had tasks in the window but didn't meet the criteria.
Tasks not attached to any property are grouped under "Unlisted tasks".
Each property appears as a single bullet showing the property name, the total number of tasks in the window, a breakdown by issue type, and how recent the latest task was. Within each section, properties are ordered by task count (highest first), then by recency of the most recent task.
Review and act on flagged items
Use the report to identify which properties need more attention. For example, a plumbing issue fixed three times in a month may point to a larger underlying problem.
The agent surfaces the pattern but doesn't suggest specific actions. After reviewing the report, you may decide to schedule a more thorough inspection or create a new task for a comprehensive repair.
