Understanding the Maintenance Block Manager agent

The Maintenance Block Manager agent helps you avoid guest check-ins at properties that are undergoing significant repairs. It automatically blocks a property's calendar when a high-severity maintenance task is open, preventing new bookings during the repair window.

The agent doesn't change or cancel an existing reservation that conflicts with a maintenance block. Resolve these conflicts manually after the agent flags them.

Understand the Maintenance Block Manager agent

The Maintenance Block Manager agent runs automatically every hour between 06:00 and 22:00. You can also trigger the agent manually.

During each run, the agent does the following:

  1. Checks for any open maintenance tasks that are categorized as "high-severity" or "major-damage".
  2. Creates a block on the listing's calendar for the estimated repair window if an eligible task is found. This prevents new guests from booking the property.
  3. Identifies and surfaces a booking conflict if a confirmed reservation already exists during the repair window.
  4. Removes the corresponding calendar block automatically when the maintenance task is closed.
  5. Generates a report of its actions and adds a note to the relevant maintenance task.

Run the Maintenance Block Manager manually

Follow the steps below to trigger the agent manually.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select icon Agents hub.
  3. At the top, select the Operations tab.
  4. Click the Maintenance Block Manager tile.
  5. Under "When it runs", click Run now.

Review the results and status of the run in the activity feed.

Review the activity feed

Follow the steps below to review your activity feed, which shows a history of when the agent has run and provides a report of the actions taken.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select icon Agents hub.
  3. In the left submenu, select Agent activity.
  4. Click the relevant row with the agent's name to review the report details in the right-side panel. You can use the filters to narrow your search.

Understand the report status and details

Each run produces a report in the activity feed. The report's status and content depend on what the agent found:

  • Done — blocks placed or removed: The agent updated one or more calendars. The summary leads with the counts (for example, "Blocked 2 listings for repairs, removed 1 block"). Expand it to see the run totals, the listings and repair windows that were blocked, and any blocks removed because their tasks were closed.
  • Done — no tasks to act on: The agent ran successfully and found no eligible maintenance tasks. No calendars were updated, and no action is required.
  • Action needed — booking conflict: The agent found an eligible task, but a guest is already booked during the repair window. The listing isn't blocked, and the reservation isn't modified. The report shows the listing, task, and repair window. 
  • Failed — task list unreadable: The agent couldn't read the maintenance task list, so no tasks were reviewed and no calendars were updated. This is usually caused by missing or revoked permissions.

Resolve conflicts and failed runs

If a conflict is found, consider relocating the guest or rescheduling the repair, then block the calendar manually. If the agent failed to read the task list due to permissions, contact us to confirm the agent's access.
