Understanding the Reservation Handoff Brief agent

The Reservation Handoff Brief agent automates your team's shift handoffs by generating a ready-to-use briefing document for each upcoming check-in. It replaces the manual work of gathering reservation details before each shift, so your team starts every shift fully informed.

Limitations

  • Data freshness: The brief reflects only the data available when it runs. Messages or updates received afterward won't be included.
  • Brief language: The brief is generated in English. Account language settings are not applied.
  • Note posting to reservations: Only the scheduled run posts internal notes on reservations. A manual trigger results in a brief in the Agents hub.

Understand the Reservation Handoff Brief agent

The agent runs daily at 08:00 UTC over tomorrow's arrivals. For each reservation, it generates a brief and posts it as an internal note on the reservation. Reservations that already have an auto-generated brief are skipped.

You can also trigger the agent manually. This run is read-only—it briefs the upcoming arrivals (today and tomorrow) and returns a digest shown in the Agents hub, without adding notes to reservations.

To build each brief, the agent reads:

  • Reservation core data (status, stay dates, booking date, channel, balance/paid)
  • Internal notes on the reservation
  • The full guest message thread
  • The guest profile, including VIP/flagged tags
  • The guest's prior stays (returning vs. first-time)

No email or other external notification is sent—output stays in Guesty, and no approval is required.

Run the Reservation Handoff Brief manually

Follow the steps below to trigger the agent manually.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, click the Integrations icon Agents hub.
  3. In the left submenu, click Discover agents.
  4. At the top, select the Operations tab.
  5. Click the Reservation Handoff Brief tile.
  6. Under "When it runs" click Run now.

Review the resulting digest and the run status in the activity feed.

Follow the steps below to review your activity feed.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, click the Integrations icon Agents hub.
  3. In the left submenu, click Agent activity.
  4. Click the relevant row with the agent's name to review the report details in the right side panel.

Understand the report details

The process typically completes within 30 seconds, and the run status shows as "Done" once processing is complete.

For scheduled runs, briefs appear as internal notes directly on each reservation.

The brief covers:

  • Who the guest is (returning or first-time, plus any VIP or flagged tag)
  • Reservation status, stay dates, and when it was booked
  • The level of interaction and sentiment so far
  • What is open and anything promised to the guest
  • Any outstanding balance
  • The recommended next action

Review and act on brief suggestions

After a brief is generated, your team should:

  • Read the brief before the guest's arrival.
  • Complete any open-item checklist tasks flagged in the brief.
  • Update the guest's details or reservation if any information has changed since the brief was created.
