Beta: Managing group deposits

Accounting by Guesty is a premium feature available to Pro users only. Please contact us to discuss activating it.

Instead of having individual transactions each with its own sum and deposit date, you can group them into a single deposit, just like your bank statements. This can help you with your bank reconciliation process and allow auditors to see the relationship between payments received in Guesty and deposits in your bank account.

For each group deposit, we will create a report of its individual transactions, for auditing purposes - so you know where each one came from. 

Follow the instructions below based on your current needs. 

Create a group deposit

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Accounting mode.
  3. Click Cash management (might appear under More) and select Cash account.
  4. Find the transactions you want to group and select them (filters above the table to the left and columns to the right can help you search).
  5. In the right corner above the table, click Create deposit.
  6. In the pop-up, enter the group deposit date.
  7. Click Create group.

Edit a group deposit

Important:

Group deposits that have been reconciled cannot be edited.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Accounting mode.
  3. Click Cash management (might appear under More) and select Cash account.
  4. Find the group deposit you want to edit (filters above the table to the left and columns to the right can help you search).
  5. Click the three dots under the "Actions" column and select Edit.
  6. In the pop-up, unselect the transactions you want to remove from the group and click Apply changes.

Add transactions

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Accounting mode.
  3. Click Cash management (might appear under More) and select Cash account.
  4. Find the transactions you want to add and select them (filters above the table to the left and columns to the right can help you search).
  5. In the right corner above the table, click Add to group.
  6. In the pop-up, select the group to which you want to add the current transaction(s) and click Add to group transactions.

Remove transactions

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Accounting mode.
  3. Click Cash management (might appear under More) and select Cash account.
  4. Find the group deposit you want to remove transactions from (filters above the table to the left and columns to the right can help you search).
  5. Click the three dots under the "Actions" column and select Edit.
  6. In the pop-up, unselect the transactions you want to remove from the group and click Apply changes.

Delete a group deposit

Important:

Group deposits that have been reconciled cannot be deleted.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Accounting mode.
  3. Click Cash management (might appear under More) and select Cash account.
  4. Find the group deposit you want to delete (filters above the table to the left and columns to the right can help you search).
  5. Click the three dots under the "Actions" column and select Delete.
  6. In the pop-up, unselect the transactions you want to remove from the group and click Delete group.
