Creating sending conditions for message automations

You can set conditions for message automations to create the reservation timeline and determine which type of reservation will trigger it.

Below we'll explain these conditions and how to combine them to define the type of reservation the message automation will apply to. Learn more about managing message automations.

Important:

  • Lite users: Automations apply to all listings, however you can customize an automated message for a specific listing.
  • Pro users: Please note that you must select website and Booking Engine as the manual sources for the message automation. If you see multiple instances of "website" and "Booking Engine", select all of them.

The reservation timeline

Add the relevant automated actions to the message automation to create the guest's experience throughout the reservation lifecycle.

Note:

  • If the guest updates their name in the check-in form, it will overwrite the name that appears under "Name" in the "Guest" section of the reservation. The message automation will take the new name for the automated message.
  • Changing the name in the reservation details or contact details won't change the name in the message automation.

Sending conditions

Sending conditions are rules that apply to the entire message automation and define which reservations will receive the associated automated messages. For example, you can send a message only if the reservation has been paid. The message will be automatically sent if the conditions are met at least 1 hour before the scheduled sending time. There is no limitation on the number of message automations that can be set per reservation. As long as the sending conditions are met, multiple message automations can be triggered for a single reservation.

Properties (Pro users)

Choose whether the message automation should be initiated by reservations on all or some of your properties:

  • All: This option will apply the message automation to reservations on all existing and future properties.
    Click Exclude properties to remove specific properties under if necessary.
  • By rule: This option will apply the message automation to reservations on all existing or future properties that match one of the cities you select and all of the tags. Exclude specific properties that would otherwise match this combination of cities and tags if necessary.
  • Specific: This option will apply the message automation to reservations on specific properties. Click Select properties to include to add the relevant properties. The list will include unlisted listings but will not include inactive ones.

Lite users can customize message automations per listing.

Channels

Choose whether the message automation should be initiated by reservations from all or some of the booking channels your Guesty account is connected to:

  • All: This option will apply the message automation to reservations from all of the booking channels your account is connected to.
    Click Exclude properties to remove specific channels if necessary.
  • Specific: This option will apply the message automation to reservations from specific booking channels.
    Click Select an option and add the relevant channels.

Note:

If you add the "Channel" sending condition and choose to send a message only to Vrbo reservations, make sure that all Vrbo sources are selected from the dropdown menu. Vrbo operates a variety of international brand websites so the sources of reservations can vary.

Each time a reservation is received from a different Vrbo brand, that brand is added to the dropdown menu. Be sure to update existing automated messages to include any new brands.

Advance notice - notice before check-in 

Choose which reservations will initiate the message automation based on how long before check-in the reservation is confirmed.

Length of stay

Choose which reservations will initiate the message automation based on the number of nights the reservation was made for.
