Creating/editing a Workflow: Explained

This article accompanies our instructions for creating or editing a Workflow. For each Workflow, you will set conditions to determine which type of reservation will initiate it and create the reservation timeline. Follow the instructions below.

Workflow conditions

Workflow conditions are rules that apply to the entire Workflow and define which type of reservation should receive the actions that are added to the Workflow. The Workflow will be initiated automatically for any reservation that meets the conditions.
Please note that you must select website and Booking Engine as the manual sources for the Workflow. If you see multiple instances of "website" and "Booking Engine", select all of them.
Read about these conditions below to understand how they combine to define the type of reservation.

Select properties to include

Choose whether the Workflow should be initiated by reservations on all or some of your properties:
  • All will apply the Workflow to reservations on all existing and future properties. If needed, you can click "Exclude properties" to remove specific properties under this option.
  • By rule will apply the Workflow to reservations on all existing or future properties that match one of the cities you select and all of the tags. If needed, you can exclude specific properties that would otherwise match this combination of cities and tags.
  • Specific will apply the Workflow to reservations on specific properties by clicking "Select properties to include" and adding the relevant property or properties.

Channels

Choose whether the Workflow should be initiated by reservations from all or some of the booking channels your Guesty account is connected to:
  • All will apply the Workflow to reservations from all of the booking channels your account is connected to. If needed, you can click "Exclude properties" to remove specific channels under this option.
  • Specific will apply the Workflow to reservations from specific booking channels by clicking "Select an option" and adding the relevant channel or channels.

Notice before check-in

Choose which reservations will initiate the Workflow based on how long before check-in the reservation is confirmed: Equals/Is more than/Is less than/Between/Equals or less than/Equals or more than X days.
The Workflow will only be initiated by reservations that meet the advance notice you set. 

Duration of stay

Choose which reservations will initiate the Workflow based on the number of nights the reservation was made for: Equals/Is more than/Is less than/Between/Equals or less than/Equals or more than X nights.
The Workflow will only be initiated by reservations that meet the duration of the stay you set.

Reservation timeline

Add the relevant automated actions to the Workflow to create the guest's experience throughout the reservation life-cycle.

Note:

  • If the guest updates their name in the Check-in form, it will overwrite the name that appears under "Name" in the "Guest" section of the reservation. The Workflow will take the new name for the Automated Message.
  • Changing the name in the reservation details or contact details won't change the name in the Workflow.
