User Roles: Overview

You can give each of your team members access to certain functionalities in Guesty by assigning roles to them. Each role is a set of permissions that will allow them to complete their tasks. While multiple roles can be assigned to each user, we recommend assigning only the most relevant one, since some functionalities may overlap.

Read the information below to understand each role, see examples of team members the role can apply to, and view a breakdown of which functionalities the user will or will not have access to.

Note:

Currently, a maximum of 150 properties can be assigned to each role.

Account Roles

Account admin

Provides full access to the entire Guesty platform. This role is usually assigned to CEOs and other high ranking managers that manage all aspects of the business.

Role: Account admin.
Account manager

Provides full access to Guesty, except for billing-related settings. For example, assign the role to a top-level manager who is not exposed to the company's expenses.

Listing Roles

Listing admin

Provides editing access to all listing-related features in Guesty, including the Inbox and calendars, and financial-related features and data. For example, assign this role to managers that handle all operational aspects of multiple properties, but are not involved in the company's business aspects.

Role: Listing admin.

Tip:

Should access be required to connect new integrations, such as booking channels, you could assign the Account Manager role instead, rather than adding the Integration Manager role alongside the Listing Admin role.
Listing viewer

Provides access to view basic listing and reservation data. For example, assign the role to a third-party contractor that requires regular access to this data, without having access to sensitive features such as the Inbox, financial data, and other setups.

Tip:

Should the user also need access to view calendars, you could add the Calendar Viewer permission role alongside this role.
Listing manager

Provides editing access to all listing-related features in Guesty, including the Inbox and calendars. This role excludes reservation financial-related features, ensuring only team members that handle payments and financials can make those changes. This role is usually applied to operational managers that are not in charge of the company's financial aspects.

Role: Listing manager.
Listing financials

Provides access to the management of all financial-related features and data. This role should be only assigned to team members that can have access to financial data and have control over it.

Tip:

Should a Listing Manager or Listing Viewer role be assigned to a user, but they also need access to financial-related features and data (but not be able to make changes to setup or reservations other than financial data), you could add the Listings Financials role alongside one of them.

Calendar Roles

Calendar viewer

Complements other permission roles by providing access to a calendar's availability without being able to view pricing, minimum nights, or manually block dates. For example, assign the role to cleaners or shift managers.

Calendar availability control

Complements other permission roles by providing access to view and manage a calendar's availability. For example, assign the role to shift managers or cleaners that need access to view a calendar, with the ability to block dates for maintenance purposes.

Calendar full control

Complements other permission roles by providing access to view and manage calendar-based data, such as nightly rates, minimum nights, and manual blocks. This role is usually applied to team members that work within the company, such as managers or those who manage reservations.

Tip:

This role could also be relevant if you provide property owners with access to your Guesty account to see an overview and manage their listing's calendar. With this role, they would not be able to perform other actions such as connecting new integrations or changing pricing, for example.

Task Roles

Viewer

Provides access to view task-related data only, such as assigned tasks, along with other related listing and reservation data. Assign the role to cleaners, maintenance workers, or any other team members whose sole responsibility is to complete tasks. These could be in-house or outsourced team members that mostly operate via the Guesty mobile app.

Role: Viewer.

Integration Roles

Integration manager

Provides access to connect and disconnect third-party integrations, such as booking channels and Guesty's Marketplace partners. Other Guesty features are not accessible.

Communication Roles

Communication agent

Provides full access to the Inbox and reservations, but only provides viewing access to the rest of the Guesty platform. This role is designed for team members that only handle guest communication.

Tip:

To allow a team member to edit availability on calendars, you could also add the Calendar Availability permission role alongside it. To make changes to prices, add the Calendar Full Control role. Otherwise, this role simply provides viewing permissions for all calendars.
