Creating additional fees

Guesty Lite users:

If you connected Vrbo after 19 Feb 2024, this action must be taken in Vrbo. If you connected prior to this date, follow the instructions below.

Use additional fees to charge guests for extra services, such as late check-out or laundry services.

Options to understand before starting

Fees need to be set up before they can be added to a reservation, they cannot be created in the process of making or editing a reservation. Learn more below about the options available before starting the creation process.

Choose to create fee on account or listing level

If the fee is relevant for all or most of your listings, create it on the account level (Pro users only). If it is only relevant to specific listings, create it on the listing level.

Select fee type

We provide a list of popular fee types, e.g. "pet", "additional bed", "early check-in". You select a fee type, then enter a free-form name that will be visible to the guest.

Each fee type can only be used once. If you'd like to create another fee of the same type, you must select a fee type that has not been used yet.

For example: 

You've already created fee type Linens, named "extra linens".  You would like to create a new fee specific for pool linens. Select a fee type that has not been used yet, e.g. "Additional charge" and name it "pool linens".

The fees will be appear to the guests as "extra linens" and "pool linens".

How to display fee to guest (Pro only)

You have the option to deduct the fee from the accommodation fare. When the reservation is received in Guesty, the amount will be automatically deducted from the accommodation fare and displayed as a separate line item on your guest folio Learn more.

Choosing to deduct a fee will disable Both "Sync fee to Channels" and "Add fee to reservations from specific sources" as explained below.

When to apply fee

  • Sync automatically to reservations made via supported channels

If you want it to be added automatically, turn the Sync fee to channels toggle ON. A list of booking channels that support the fee will appear. It's important to understand that not all fee types or fee calculations sync with each channel

    • The fee will automatically sync with all connected channels that support that fee type
      • Specific channels cannot be excluded
    • Guests will see the fee when booking their reservation
    • The reservation will include the fee when it arrives in Guesty from the channel
    • The fee will be included in the channel's auto payment schedule
  • Add automatically to reservations made via other channels

For booking channels that do not support the fee, turn the Add fee to reservations from specific sources toggle ON, then specify the booking source.

    • Guests will NOT see the fee when booking their reservation
    • The fee will be added in Guesty when the reservation is confirmed
    • The fee will NOT be included in the channel's auto payment schedule

Important:

For fees that are not synced with channels but are added in Guesty, you must ensure these payments are scheduled and collected manually.

  • Add fee manually

If you want it to be added only when you decide it is needed (for example, after speaking with the guest), make sure the Sync fee to channels and Add fee to reservations from specific sources toggles are OFF.

    • The fee must be added manually to each reservation in Guesty

How fee is calculated

Decide if the fee is a fixed amount or percentage, and how it is calculated. Fixed fees can be per guest or per stay, for example, and percentage fees can be calculated based on the accommodation fare or cleaning fee, for example.

These settings create many combinations, but not all of them are supported by all of the channels - see more information here.

Note:

Additional fees cannot be deducted from the accommodation fare and do not apply to Airbnb reservations with a special offer.

Create fee on the account level (Pro only)

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Financials mode.
  3. Click Financial settings and select Additional fees.
  4. In the top-right corner, click Edit.
  5. Click Add another fee (you may need to scroll down).
  6. Fee type: Select from the dropdown menu.
    1. Each fee type can only be used once. See above for more information.
  7. Name: Enter a freeform name for the fee. This will be seen by the guest.

    Important:

    The pet fee can only sync with Airbnb and Vrbo if the listing allows pets. Follow these instructions - turn on the Allow pets toggle and Charges may apply.<br>

    Vrbo specifically requires a different kind of pet fee - under basic fees, not additional fees. Follow these instructions to set up basic pet fee. 

  8. Choose if the fee amount is fixed or percentage, and decide how it should be calculated. The options are:
    • For fixed fees:
      • Per night
      • Per guest
      • Per stay
      • Per guest per night
    • For percentage fees, based on the:
      • Accommodation fare
      • Cleaning fee
      • Accommodation fare + cleaning fee
  9. Under "Inclusive fee", toggle on to deduct the fee from accommodation fare and add the fee as a separate line item. 
  10. Decide how you want the fee to be added to reservations. See above for more information.
    • Toggle on Sync fee to channels and/or
    • Toggle on Add fee to reservations from specific sources
      • Specify "Active source" and/or "Manual Source" 
    • Toggle both buttons OFF to add fee manually to each reservation.
      • If you chose to deduct the fee from accommodation fare, this is the only option.
  11. Click Save.
  12. Read the information in the pop-up and click Save.
  13. We recommend reading this to understand who collects the additional fee from the guest and to see if there is anything you need to do to make that happen.

If you turned on the sync or add to sources toggle, the additional fee will be automatically added to new reservations. If you want it to appear on reservations that already exist in Guesty, add it manually.

Create fee for a specific listing

Pro users Lite users

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Operations mode.
  3. Click Properties.
  4. Click the relevant listing. 
    • If the listing is a multi-unit, you can manage this feature via the multi-unit's main unit, and the settings will apply to all its sub-units. Alternatively, you can configure the settings for a specific sub-unit. Click the main unit or the specific sub-unit.
  5. In the listing's menu, click Pricing & Policies and select Pricing.
  6. To the right of "Additional fees & charges", click Edit.
  7. Make sure the Use your account's default settings toggle is OFF, or the listing will use additional fees set up on the account level. 
  8. Click Add another fee (you may need to scroll down).
  9. Fee type: Select from the dropdown menu.
    1. Each fee type can only be used once. See above for more information.
  10. Name: Enter a freeform name for the fee. This will be seen by the guest.

    Important:
