Auto Tasks are tasks that are scheduled ahead and are automatically triggered by a certain event in a reservation's life-cycle (e.g. check-in or booking confirmation).
Utilize Auto Tasks for checklists, attachments, and assignees — like cleaning a property one hour after each guest checks out.
Title
Give the Auto Task template a title: This will help you and your team identify it.
Description
You can add free text to provide your team with more information about the task.
Duration
Add the planned duration of the task. This can help you to:
- Schedule and prioritize tasks more efficiently based on the estimated task length
- Set expectations with the assignee regarding task length
Priority
You can set the priority of the task: 1 being the highest priority while 5 being the lowest.
Checklist
You can create a task to-do list:
- Click Add a new item and enter the relevant text.
- Press Enter or Return on your keyboard to add the item.
Note:
The character limit is 2,000 in total.
You can re-order the entries in your to-do list by dragging them up or down from the icon.
Expenses (Accounting users only)
Click Add expense to provide context to an expense by linking it to the information provided on the task. Learn more.
Assignee
You can assign the task to a specific member of your team: Under "Assignee", select a person from the dropdown. Alternatively, you can assign the task to a group of users. See the information below.
Assigned group
You can assign the task to a group of users: Under "Assigned Group", select a group from the dropdown. A member of the group can then assign the task to themselves. When scheduled, the Auto Task will appear as "Unassigned" until a member of the group accepts the task via the Guesty mobile app. The task will still be associated with the relevant reservation even if the task is not accepted.
Supervisor
Assign a supervisor to the task: From the dropdown under "Supervisor", select the relevant option.
Attachments
You can add files to provide your team with important information about the task: Click Upload an attachment and select the relevant files or drag and drop files from a folder on your computer. You can upload up to 50 files per task with a maximum size of 25MB per file.
Automation upon task completion
Certain actions can be automatically performed once an Auto Task has been completed, such as changing the listing's cleaning status to "Clean", or sending a message to a guest or team member. Under "Automation upon task completion", click Select and select the relevant option from the dropdown.
Get started by creating a template, which will provide your team with all the information they need to complete the task.
Once created, you can set up the automated scheduling of the tasks.

Important:
- When editing an Auto Task template, the updates made will apply to all existing related tasks.
- When a template is deleted, all related tasks will automatically be deleted.
- Any changes made to the Auto Task template, such as updating the "Automation Upon Task Completion" settings, will only apply to Auto Tasks created for reservations with future check-out dates. Auto tasks created for reservations with past check-out dates will not be updated, and you will need to update them manually.
- Sign in to your Guesty account.
- In the top navigation bar, click the mode selector and select Operations mode.
- Click Properties.
- Click the relevant listing.
- If the listing is a multi-unit, access the listing's main settings or click a sub-unit. Learn how to do this here.
- In the left-side menu, select Task templates.
- Click Create task template.
- Fill in the relevant information.
