Pilot: Understanding the Lock battery replacement agent

The Lock battery replacement agent helps you proactively manage your smart lock batteries to prevent guest access issues. The agent automatically checks the battery levels of your smart locks each morning. If a battery is running low, it creates a high-priority maintenance task to ensure it's replaced before the next guest arrives.

The agent only creates maintenance tasks. It doesn't message guests or order or replace batteries.

You must have Guesty Locks Manager set up with your smart locks linked to your properties.

Understand the Lock battery replacement agent

The Lock battery replacement agent runs automatically every day at 08:00.

During each run, the agent does the following:

  1. Scans the smart locks connected through Guesty Locks Manager at properties with a current or upcoming reservation. Locks at properties without a current or upcoming reservation aren't checked.
  2. Identifies online locks with a battery status of "Low" or "Critical" (a battery level under 31%). Offline locks are skipped. Learn more about monitoring lock alerts and battery levels in Guesty Locks Manager.
  3. Checks whether a flagged lock already has an open battery replacement task. If it does, the agent skips the lock so no duplicate tasks are created.
  4. Creates one unassigned, high-priority maintenance task for each low-battery lock that doesn't already have an open task.
  5. Sets the task's due date before the next check-in at that property.
  6. Adds the following details to the task: the current battery level, the lock's name and brand, the property's name and address, and the next check-in.

Run the Lock battery replacement manually

In addition to the scheduled run, you can trigger the agent manually at any time from the Agents hub.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select Agents hub icon Agents hub.
  3. At the top, select the Operations tab.
  4. Click the Lock battery replacement tile.
  5. Under "When it runs", click Run now.

Review the results and status of the run in the activity feed.

Review the activity feed

Follow the steps below to review your activity feed.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select Agents hub icon Agents hub.
  3. In the left submenu, select Agent activity.
  4. Click the relevant row with the agent's name to review the report details in the right-side panel.

Understand the report status and details

Each run's report summarizes the agent's findings and includes:

  • Every lock identified with a low or critical battery level.
  • The result for each identified lock:
    • Task created
    • Task already open
    • Failed
  • Any errors, such as when the agent couldn't create a task or couldn't check for existing open battery tasks. If the agent can't check for open tasks, it doesn't create a task during that run, to avoid duplicates.

Review and act on created tasks

When the agent creates a task, it is unassigned. Your operations team should monitor for these high-priority tasks and assign them to a team member to complete before the next guest's arrival. The task contains all the information needed to complete the battery replacement.
