Understanding the Check-in readiness command agent

Guests arrive with unfinished business more often than you'd like: a booking still waiting on confirmation, a payment that failed overnight, an incomplete check-in form. The Check-in readiness command agent scans the reservations checking in today and tomorrow, flags what's missing, and gives you a to-do list for each arrival.

Limitations

Review the following limitations before using the Check-in readiness command agent.

  • Check-in form: Guest reminders apply to accounts that use the check-in form.
  • Cleaning: The agent evaluates cleaning readiness only for accounts that use tasks for housekeeping. Accounts that manage cleaning elsewhere skip this check, so the agent never flags a missing task by mistake.
  • Access codes: The agent doesn't check for missing door codes or other access information.
  • Payments and confirmations: The agent reports failed payments, outstanding balances, and unconfirmed reservations, but it doesn't charge guests, retry payments, send payment reminders, or confirm reservations.

Understand the Check-in readiness command agent

The Check-in readiness command agent runs automatically once a day at 18:00 in your account's timezone. The agent can also be triggered manually.

The agent scans every reservation with a check-in date of today or tomorrow, in either "Confirmed" or "Reserved" status. The window covers both full calendar days, so an early-morning run still includes tomorrow's afternoon and evening arrivals. The agent evaluates each reservation across four dimensions:

  • Confirmation: Flags a reservation still in "Reserved" status as critical, so you can confirm it before check-in.
  • Payment: Flags failed payments and outstanding balances.
  • Cleaning: Checks tasks for cleaning and turnover readiness.
  • Check-in form: Prepares a guest reminder when the check-in form is incomplete. Reminders reach the guest only after you approve them.

Owner reservations

Owner and owner-guest reservations skip two dimensions:

  • Payment: Owners are never charged
  • Check-in form: The agent doesn't check the form status or prepare a guest reminder

Confirmation and cleaning still apply, and the readiness note still posts so your team sees that the reservation was scanned.

Understand what happens on each run

Most of what the agent does happens without your involvement. Only guest-facing messages wait for your decision.

Automatic actions

  • Posts an internal readiness note on each scanned reservation's Inbox conversation thread, including reservations that are ready, so you can confirm that the run happened. Guests never see these notes.
  • Comments on a cleaning task when the task is canceled, or the timing is too tight for the upcoming check-in.
  • Posts an internal note when a guest is waiting on a reply from your team, asking the team to remind the guest about the form when they reply.
  • Posts an internal note when a reminder can't reach the guest because no channel is available.

Actions that need your approval

Check-in form reminders are the only guest-facing action, and they never send automatically. The agent pauses and presents an approval card with one item per reservation that still needs a reminder. You can approve, decline, or edit the suggested message before it goes out. Two limits apply to every run:

  • Approval window: 24 hours
  • Volume: Up to 20 reminders per run, starting with the nearest check-ins. Remaining reminders wait for a later run

Your decision determines what the guest and your team see:

Decline The guest receives nothing, and an internal note records that the reminder wasn't sent

Run the Check-in readiness command agent manually

In addition to the scheduled run, you can trigger the agent manually at any time from the Agents hub.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select Agents hub icon Agents hub.
  3. At the top, select the Operations tab.
  4. Click the Check-in readiness command tile.
  5. Under "When it runs", click Run now.

Review the results and status of the run in the activity feed.

Review the activity feed

Follow the steps below to review your activity feed, which shows a history of every time the agent has run.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select Agents hub icon Agents hub.
  3. In the left submenu, click Agent activity.
  4. Click the relevant row with the agent's name to review the report details in the right-side panel.

Understand the report status and details

Each run shows one of two statuses:

  • Done: The agent finished and found nothing that needs your decision
  • Action needed: One or more check-in form reminders are waiting for your approval

The report summarizes everything that needs attention before the upcoming check-ins. For the full details on a single reservation, open the readiness note on its Inbox thread. While a reminder waits for your approval, the note shows the check-in form status as "Decision in progress".
