Understanding the Task Priority Manager agent

The Task Priority Manager agent helps you manage the priority of your open tasks by automatically weighing each one against the rest. This ensures the most urgent work sorts to the top of your team's list, helping them focus on what matters most.

This agent changes data instead of just reporting on it: it automatically updates the priority field on your tasks. It doesn't create, reschedule, or reassign tasks.

Limitations

Review the following limitations before using the Task Priority Manager agent:

  • Manual priority isn't protected: Tasks don't record who set their priority, so the agent can't distinguish a value you chose by hand from one inherited from a template. As a result, the agent can overwrite a priority you set manually.
  • Large boards run in batches: The agent evaluates up to 60 tasks per run, starting with the most urgent. If you have more open tasks, the report states how many were deferred to a later run.

Understand the Task Priority Manager agent

The agent runs automatically once a day at 06:00 UTC. The agent can also be triggered manually.

During each run, the agent:

  1. Reads every open task across your properties, whatever its type.
  2. Judges how urgent each task is relative to the others on your account, based on the task's content and whether a guest is arriving or already staying. Because ranking is relative to your current workload, the same task can land at a different priority on a busy day than on a quiet one.
  3. Updates each task's priority to "high," "medium," or "low" based on that judgment, and leaves it unchanged if the priority is already correct. Priority can move in either direction — a task marked "high" can move to "medium" or "low" if less urgent work outranks it that day.
  4. Delivers a report of every change it made and the reason behind it.

Note:

If the agent can't read the task board, or can't produce a judgment, the report states this explicitly. 

Run the Task Priority Manager agent manually

In addition to the scheduled run, you can trigger the agent manually at any time from the Agents hub.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select icon Agents hub.
  3. At the top, select the Operations tab.
  4. Click the Task Priority Manager tile.
  5. Under "When it runs", click Run now.

Review the activity feed

After the agent runs, you can review a report of its activity and the changes it made.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select icon Agents hub.
  3. In the left submenu, select Agent activity.
  4. Click the relevant row with the agent's name to review the report details in the right-side panel. 

Understand the report status and details

The report opens with a summary of how many tasks had their priority changed and when the run happened. It also states whether the report is complete or if information was missing.

The rest of the report includes:

  • The number of tasks the agent evaluated.
  • The tasks whose priority changed.
  • The property associated with each changed task.
  • A short reason explaining why each change was made.
  • A summary of how tasks are ranked by priority.
  • An explanation of why the report is incomplete, if applicable.

Review and act on changes

Use the activity report to review the agent's reasoning for each priority change. If you disagree with a change, go to the task and update its priority manually.
