Pilot: Understanding the Owner statement readiness agent

The Owner statement readiness agent helps you monitor the status of your owner statements for a given period. It provides a quick snapshot of how many statements are ready for your month-end close and helps you identify which ones need attention.

This agent is read-only. It counts statements by status and calculates a readiness percentage, but it does not change a statement's status, send statements to owners, or create tasks.

Limitations

Review the following limitations before using the Owner statement readiness agent:

  • Permissions: You need access to Guesty Accounting and owner financial management features for the agent to return results.
  • Read-only: The agent does not approve, send, or archive statements for you.
  • Generating statements: Statements that are still generating or regenerating may appear outside the main readiness calculation.

Understand the Owner statement readiness agent

The Owner statement readiness agent runs automatically on the 5th of every month and reviews the owner statements from the previous calendar month. The agent can also be triggered manually.

During each run, the agent reviews your owner statements for the selected period and reports the following:

  1. Scans the total number of owner statements for the period.
  2. Categorizes statements by their status: "Pending", "Approved", "Flagged", and "Archived".
  3. Calculates a readiness percentage based on the number of approved statements.
  4. Provides a list of all flagged statements that require review.

The agent categorizes statements by the following statuses:

  • Pending: The statement has been generated but is not yet approved.
  • Approved: The statement is approved.
  • Flagged: The statement needs review before it can be approved.
  • Archived: The statement is archived and is not included in the readiness calculation.

Learn about the readiness percentage calculation

The readiness percentage is calculated using the following formula:

Readiness % = Approved ÷ (Pending + Approved + Flagged)

"Archived" statements are shown in the report but are not included in the readiness calculation. If there are no "Pending", "Approved", or "Flagged" statements for the period, the readiness is shown as "n/a".

For example, if you have 4 "Approved", 92 "Pending", and 0 "Flagged" statements, the calculation is 4 ÷ (92 + 4 + 0) = 4.2%.

Run the Owner statement readiness agent manually

In addition to the scheduled run, you can trigger the agent manually at any time to check a custom period or get an updated snapshot. If you run the agent manually without choosing a custom period, it defaults to the previous calendar month.

To run the agent manually

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select icon Agents hub.
  3. At the top, select the Accounting tab.
  4. Click the Owner statement readiness tile.
  5. Under "When it runs", click Run now.

Review the accounting activity feed

Follow the steps below to review your activity feed.

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select icon Agents hub.
  3. In the left submenu, click Workspaces then select Accounting activity.
  4. Click the relevant row with the agent's name to review the report details in the right side panel.

Understand the report status and details

The report will have one of the following statuses:

  • Done: The agent ran successfully, and no statements were flagged.
  • Action needed: The agent found one or more statements with a "Flagged" status.

The report for each run includes the following details:

  • The period reviewed
  • The total number of statements scanned
  • The counts for "Pending", "Approved", "Flagged", and "Archived" statements
  • The readiness percentage
  • A list of flagged statements, including the owner name, listing name(s), and statement period

Resolve flagged statements

If a run has a status of "Action needed", you should review the flagged statements to resolve any underlying issues before approving them.

To resolve flagged statements

  1. Sign in to your Guesty account.
  2. In the side navigation menu, click icon Accounting to open the dropdown menu.
  3. Under Owner accounting, select Owner statements.
  4. Filter the view to show statements with the "Flagged" status.
  5. Review each flagged statement and correct the underlying transactions as needed. Learn more about validating owner statements.
  6. Once corrected, approve the statement.
  7. (Optional) Re-run the agent manually to get an updated readiness snapshot.

Frequently asked questions

Does this agent send statements to owners?

No. The agent is read-only and only reports on the readiness of your statements.

Can I check a period other than last month?

Yes. When you run the agent manually, you can provide a start and end date to check a custom period. If you leave the dates blank, it defaults to the previous calendar month.

Why is my readiness percentage low even if nothing is flagged?

The readiness percentage is based on the number of "Approved" statements relative to the total. "Pending" statements count against readiness, so the percentage will increase as more statements move from "Pending" to "Approved".

Why don’t I see the agent in my account?

This agent requires Guesty Accounting features to be enabled on your account. If you believe you should have access, please contact Guesty Support.
