Understanding the Monthly Cancelled Reservations Report agent

The Monthly Cancelled Reservations Report provides a monthly summary of all your cancelled reservations. Use it to understand cancellation trends, identify patterns, and analyze the financial impact across your properties.

Limitations

The report only includes reservations where the cancellation was processed through Guesty. Cancellations handled directly on a booking channel that didn't sync to Guesty may not be included.

Understanding the agent

Once a month, on the first or second day, Guesty automatically generates a report that analyzes all reservations cancelled during the previous month. The report helps you identify patterns by grouping cancellations by reason, booking channel, listing, guest nationality, lead time, and who initiated the cancellation (guest, host, or system).

The report also calculates the financial impact, including total revenue lost, any cancellation fees collected, and the net financial result.

note This report runs automatically once per month. There is no option to run it on-demand. To analyze cancellation data at other times, you can build a custom report. Learn more in our articles on Running reservations reports for financial data and the Best practices: Reservation report.

What's included in the report

The report is available in your Activity feed and includes the following sections:

  • Summary table: Shows total cancellations, total revenue lost, and fees collected.
  • Breakdowns: Details cancellations by listing, channel, and cancellation reason.
  • Month-over-month comparison: Compares the current month's data with previous months, if historical data is available.
  • Top 3 listings: Highlights the three listings with the highest cancellation rates.
  • OTA average flag: A flag appears if any listing's cancellation rate is higher than the OTA average, as this may affect your ranking on booking channels.

Using the report's insights

While no direct action is required on the report itself, you can use its findings to make strategic business decisions. We recommend using the report to:

  • Identify which listings or channels have unusually high cancellation rates.
  • Review your cancellation policies if you see a high number of host-initiated cancellations, as these can negatively affect your OTA ranking.
  • Adjust your pricing or minimum stay requirements if you notice that cancellations often happen around specific lead times.

View the report

  1. Sign in to your Guesty account.
  2. In the side navigation menu, click the Integrations icon Agents hub.
  3. In the left submenu, click Agent activity.
  4. Select the Monthly cancelled reservations thumbnail.
  5. Click Activate agent and confirm the action in the popup to enable the agent.
  6. Look for an Activity feed entry for the monthly cancellation report. The report is ready when the run status shows as "Done".

Important considerations

Keep the following in mind when reviewing your report:

  • The accuracy of the "cancellation reason" data depends on whether the reason is consistently recorded in Guesty when a reservation is cancelled.
  • Host-initiated cancellations are highlighted in the report because they can carry the highest penalties on OTA platforms, such as a lower ranking or potential account suspension. You can monitor your cancellation rates and other performance metrics in the Advanced Analytics: Reservations dashboard.
