Understanding the Cancelled reservations reconciler agent

The Cancelled reservations reconciler provides a monthly summary of all your cancelled reservations. Use it to understand cancellation trends, identify patterns, and analyze the financial impact across your properties.

Limitations

The report only includes reservations cancelled through Guesty. Cancellations handled directly on a booking channel that didn't sync to Guesty may not be included.

Understand the Cancelled reservations reconciler agent

Once a month, on the first or second day, the Cancelled reservations reconciler generates a report analyzing all reservations cancelled during the previous month. It groups cancellations by reason, booking channel, listing, guest nationality, lead time, and who initiated the cancellation (guest, host, or system), helping you spot patterns quickly.

It also calculates the financial impact, including total revenue lost, any cancellation fees collected, and the net financial result.

The report is available in your activity feed and includes the following sections:

  • Summary table: Shows total cancellations, total revenue lost, and fees collected.
  • Breakdowns: Details cancellations by listing, channel, and cancellation reason.
  • Month-over-month comparison: Compares the current month's data with previous months, if historical data is available.
  • Top three listings: Highlights the three listings with the highest cancellation rates.
  • OTA average flag: Appears when a listing's cancellation rate exceeds the OTA average, which may affect your ranking on booking channels.

Run the Cancelled reservations reconciler agent manually

In addition to the scheduled run, you can trigger the agent manually at any time from the Agents hub.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select icon Agents hub.
  3. At the top, select the Accounting tab.
  4. Click the Cancelled reservations reconciler tile.
  5. Under "When it runs", click Run now.

Follow the steps below to review your activity feed.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, select icon Agents hub.
  3. In the left submenu, select Agent activity.
  4. Click the relevant row with the agent's name to review the report details in the right-side panel.

Understand the report status and details

Keep the following in mind when reviewing your report:

  • The accuracy of the "cancellation reason" data depends on whether the reason is consistently recorded in Guesty when a reservation is cancelled.
  • Host-initiated cancellations are highlighted because they carry the highest penalties on OTA platforms, such as a lower ranking or account suspension. Monitor your cancellation rates and other performance metrics in the Advanced Analytics: Reservations dashboard.

Review and act on flagged items

The report doesn't require direct action, but you can use its findings to make strategic business decisions. Use the report to:

  • Identify which listings or channels have unusually high cancellation rates.
  • Review your cancellation policies if you see a high number of host-initiated cancellations, as these can negatively affect your OTA ranking.
  • Adjust your pricing or minimum stay requirements if cancellations often happen around specific lead times.
