Understanding the Daily Task Coverage Board

The Daily Task Coverage Board agent provides a daily operations briefing to give your team a clear picture of the day's task coverage. It automatically identifies tasks that are uncovered, overdue, or at risk of being missed, helping you prioritize your team's work.

You can find the Daily Task Coverage Board in your Agent Activity feed each morning.

Limitations

  • The Daily Task Coverage Board only analyzes tasks created within Guesty. It doesn't include items from external tools like Asana or Trello.
  • The Daily Task Coverage Board is an informational tool. It doesn’t reassign tasks automatically. All changes to task assignments must be made manually in Guesty.

Understanding the agent

The system generates the board automatically every day at 06:00 UTC, and you can't run it on-demand.

Each morning, the system performs the following actions:

  1. Fetches all open tasks that are due today or are overdue.
  2. Checks the assignment status of each task (assigned, unassigned, or assigned to unavailable staff).
  3. Evaluates the likelihood of completion based on the task's age, the assignee's current workload, and the task's priority.
  4. Groups the tasks by property, category, and urgency.
  5. Produces a coverage board report sorted by risk level.

Task assignments are based on your Guesty user data. For example, if a staff member is unavailable and their tasks are not manually reassigned, the board will flag those tasks as "at risk" on the following day's report.

Review your daily board

  1. Sign in to your Guesty account.
  2. In the side navigation menu, click the Integrations icon Agents hub.
  3. In the left submenu, click Agent activity.
  4. Select the Daily Task Coverage Board thumbnail.
  5. Click Activate agent and confirm the action in the popup to enable the agent.

The board will have one of two statuses:

  • Done: All tasks are covered and on track.
  • Action needed: One or more tasks are at risk or uncovered.

The board displays tasks grouped by the following risk levels:

  • Overdue (red): The task is past its due date and is incomplete.
  • At-risk (amber): The task is due today but has not been started or is unassigned.
  • Covered (green): The task is assigned and in-progress.

The report is sorted by listing and urgency to help your operations leads quickly identify and address the most critical items.

Taking action on the board's findings

When a board's status is "Action needed", your team should review the at-risk and overdue tasks. Recommended actions include:

  • Reassigning uncovered tasks to available staff.
  • Following up on overdue tasks to understand their status. You can review the task's history for more context.
  • Escalating if a critical task, such as a check-in or checkout, is at risk.
