Understanding the Saved replies optimizer agent

The Saved replies optimizer is an agent that keeps your library of pre-written guest communication templates accurate and effective. Each month, the optimizer checks your saved replies and recommends fixes for issues guests might run into, such as broken links or unfilled placeholders. It also makes optional suggestions to improve your replies.

Saved replies are shared across your entire account, so any changes you make to them affect all users.

Limitations

Review the following limitations before using the optimizer:

  • Recommendations only: The agent doesn't edit, merge, or delete saved replies, and it doesn't draft replacement text. You make any changes yourself on the saved replies page.
  • Up to 150 listings: The agent checks saved replies against a maximum of 150 listings. If your account has more, the report opens with "Saved replies were checked on N of your M listings."
  • New accounts: New accounts with few saved replies usually receive a "Done" status with no recommendations until the library grows.

Understand the Saved replies optimizer agent

The Saved replies optimizer is an automated agent that helps maintain the quality of your account's saved replies library.

Once a month, on the 15th at 08:00, the agent automatically performs the following actions:

  1. Retrieves all saved replies in the account.
  2. Checks each reply for content problems, such as empty replies, unfilled placeholders, broken variables, and broken links.
  3. Compares each reply with the listing's check-in time, check-out time, and house rules.
  4. Sorts its findings into issues that need action and optional suggestions.
  5. Presents a report for your review.

Note:

The agent reviews how saved replies are used in real guest conversations and the surrounding conversation thread content. As a result, accounts with a limited message history may receive fewer specific recommendations.

Run the Saved replies optimizer manually

In addition to the scheduled monthly run, you can trigger the optimizer manually at any time from the Agents hub.

  2. In the side navigation menu, click the Agents hub icon Agents hub.
  3. At the top, select the Communication tab.
  4. Click the Saved replies optimizer tile.

Review the activity feed

Follow the steps below to review your activity feed.

Step by step:

  1. Sign in to your Guesty account.
  2. In the side navigation menu, click the Agents hub icon Agents hub.
  3. In the left submenu, click Agent activity.
  4. Click the relevant row with the agent's name to review the report details in the right-side panel.

Understand the report status and details

The report will have one of the following statuses:

  • "Done": No saved replies have issues that need action. The report may still include optional suggestions.
  • "Action needed": At least one saved reply has an issue that a guest would run into.

The report lists each flagged reply with the following details:

  • The title of the saved reply
  • What's wrong with it
  • The recommended change

To apply a recommendation, click the link in the report to open the saved replies page, and edit the reply there.

Issues that require action

The agent flags the following issues as "Action needed":

  • Empty reply: The saved reply has no content.
  • Unfilled placeholder: The reply still contains placeholder text, such as [INSERT CODE], XXXX, TBD, or a blank line.
  • Broken variable: A variable has empty braces ({{}}), is missing a brace, or has two variables inside one pair of braces. Valid variables and custom variables are never flagged.
  • Broken link: The reply has an incomplete or sample web address, or says "click here" without a link.
  • Contradicts the listing: The reply conflicts with the listing's check-in time, check-out time, or house rules.

Exceptions and paid extras, such as late check-out for a fee, don't count as contradictions. The agent never uses marketing text from the listing description to check for contradictions.

Optional suggestions

The agent lists improvements that don't affect the run's status. If the agent only finds optional suggestions, the run stays "Done". Suggestions include the following:

  • Clearer or better wording
  • Missing details
  • Other similar improvements

The agent doesn't flag links, payment links, booking offers, emojis, or sign-offs.
