Migrating from auto payments to payment automations

Important:

The legacy auto payments feature will be discontinued soon. Switch to the new payment automations for a more flexible and powerful way to manage payment schedules.

Payment automations allow you to configure rules at the account level and set specific conditions based on the listing, channel, or length of stay.

This system streamlines revenue collection, minimizes manual intervention, and helps reduce missed payments. Your new payment automations run alongside existing auto payment rules until you choose to switch, allowing you to test configurations before deactivating old rules.

Setting up payment automations

To start using the new feature, create a payment automation. New automations are created as inactive by default, which lets you review the setup before they go live. Once activated, these automations apply to future reservations that meet your specified conditions. Reservations created before activation continue using the legacy auto payments rules.

Create a new payment automation

Follow the steps below to create a payment automation.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the Mode selector and select Operations.
  3. Click Automations and select Payments.
  4. Click Add payment automation and select one of the following:
    • Click Add on a payment template.
    • Click Create custom automation.
  5. In the Name field, enter a clear title like “50% at Booking for Booking.com” or “Full payment for direct reservations”.
  6. Set conditions:
    • Listing: Choose whether this automation applies to all listings or specific listings.
    • Channel: Select the channels, such as Airbnb, Booking.com, Expedia, or manual.
  7. Add conditions for manual bookings if needed:
    1. Length of stay: Set rules for specific stay durations, like "over 7 nights".

    2. Advanced notice: Set rules based on how far in advance a guest books.

  8. Add steps to your schedule and specify the following for each:
    • Timing: Select a trigger like "At booking" or "X days before check-in".

    • Amount: Enter a percentage of the total cost or a fixed amount.

  9. Click Save

Note:

The Manual channel includes direct bookings from your website, so you don't need to select a separate "website" source.

Activate an automation

Follow the steps below to review and activate your automations.

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Operations.
  3. Click Automations and select Payments.
  4. Review the automation details, including names, conditions, and schedules.

  5. Click Activate all or toggle on individual automations to go live.
