You can easily upload documents in Guesty for each individual owner to view and download via the Owners Portal. Whether it's contracts, reports, or any other essential document, this feature can help optimize collaboration and communication between you and your owners.
Before you begin
Below is some important information to know about the Owners Portal document feature in Guesty:
- You can upload documents and files for each owner via their individual Owner Profile page
- PDF files are the only supported file format
- The maximum file size limit is 5 MB
There is no limit to the minimum file size. - After you've uploaded the file, you can edit, download, or delete the file in Guesty (explained below)
Uploading document files to the Owners Portal
Follow the instructions below to upload files in Guesty that will be displayed in the Owners Portal.
Step by step:
- Sign in to your Guesty account.
- In the top navigation bar, click the mode selector and select Operations mode.
- Click Owners.
- Click the relevant owner.
- Click the Documents tab.
- Click Add a new document.
- Perform the following actions in the pop-up:
- Click Upload document, browse and select the file you'd like to add, and click Open.
- Fill in the "Document name" field.
The "Document name" is the document file's name you and your owner will see on the document list, as well as, the file name when the file is downloaded. - Fill in the "Internal description" field (optional).
The "Internal description" is an internal note for you and your team, and won't be displayed to owners. - Add the "Document effective date" and "Document expiration date" of the document (optional). To remove the date, click X next to the date.
These dates are a reference for the document's start and/or end dates, and aren't relevant to the file's visibility on the Owners Portal.
This can be useful for keeping track of the dates for documents like contracts, insurance forms, etc. - Turn on the Visible in Portal toggle to add this document to the Owners Portal.
If you don't want this document to be displayed in the Owners Portal, turn the toggle off. - Turn on the This document is a contract toggle to mark this document as a contract.
- Click Save.
- Once you've saved your document, you'll be able to view it instantly on the list (in both Guesty and the Owners Portal).
Next steps
Once you've uploaded a document, you'll be able to view it and perform other actions in both Guesty and the Owners Portal (if you've enabled the visibility).
In Guesty
Follow the steps below to view, edit, delete, and/or download your documents in Guesty.
- In the Documents tab, you can either view the file you've uploaded, download it, or make changes to it.
- To view your document, click the relevant document under the "DOCUMENT NAME" column.
The document will open up in a new tab in your browser (it might take a few moments to load). - All other actions can be done via the "ACTIONS" column.
- Click , next to the relevant document.
- Select the action you'd like to take:

Edit
This will open the pop-up editing window for you to make the necessary changes to the document's metadata.
If you'd like to change the uploaded PDF, you'll need to delete the document and upload it again as a new document. -
Download
This will automatically download the file to your device's "Downloads" folder. -
Delete
This will open a pop-up window to confirm your action. Click "Yes" to permanently remove it.

- To view your document, click the relevant document under the "DOCUMENT NAME" column.
In the Owners Portal
Owners will be able to view and download the files you uploaded on the “Documents” page.
Step by step:
- Sign in to the Owners Portal.
- Click Documents, located at the top of the page.
Here, you'll be able to view a list of all the documents shared.
- To view the document, click either the document's name or .
This will automatically open the file in a new tab on your web browser. - To download the document, click Download document.
This will automatically download the file to your device's "Downloads" folder.
