The Guest Folio Breakdown is a one-stop folio to see all the cost details of your reservations. The Guest Folio Breakdown allows you to see services broken down into individual line items and fees and taxes broken down by each night of the reservation. You are able to make adjustments to line items and add additional items if needed. Learn how to access the Guest Folio Breakdown and all its features below.
Step by step:
- Sign in to your Guesty account.
- In the top menu, click Reservations.
- Select the relevant reservation.
- In the top gray menu, click on Balance Due.
- Scroll down to see the Guest Folio Breakdown on the left-hand side.
Nightly rates
Nightly Rates is the total guest payout amount for each individual night of a reservation. You now have the option to view your reservation's accommodation and non-accommodation fares broken down per night in the Guest Folio Breakdown. Learn more.
Guest Folio Breakdown views
By line item
The By line item view is best used to see services broken down into individual line items and the total amount for the reservation's accommodation fare, taxes and fees. If you click on the arrows next to each line item's name, you will see a breakdown of the services per night. For instance, clicking on Accommodation fare will show you how the accommodation fare is broken down by night.
By night
Use the By night view to see fees broken down by each night of the reservation. This view has every date of the reservation clearly labeled and every service related to the date. For your convenience, use the calendar to choose the specific dates you want to see at a glance.
Adding a line item
Easily add an existing fee, tax, or channel commission to your reservation that needs to be included in a specific date by adding a line item. You can also add a new additional fee to your reservation that you do not have set up in your account. See the steps below.
Step by step:
- At the top of each view, click + Add Line Item.
- In the pop-up, select an existing fee to add to a date or click Set up a new fee. If you select the latter, you will be redirected to Financial Settings to add a new additional fee.
- Fill in the relevant information and choose a fee realization date.
- Click Add.
Adjusting a line item
We have also made it possible to adjust services according to your needs and also keep track of all changes by viewing a history log of the adjustments made. To add an adjustment, follow the steps below.
Step by step:
- In the top of Guest Folio Breakdown, click Add line +/- Adjust line item.
- Select the folio item you want to adjust.
- Add a reason for the adjustment in the description box.
- Add the new amount of the adjustment.
- Fill in the relevant information and choose a fee realization date.
- Click Adjust.
It is not possible to delete an adjustment once it is made for financial compliance reasons. If you want to remove an adjustment, you will need to create a new adjustment to counteract the adjustment you want to be removed.
Important:
If you want to decrease the amount of a service (when adding a discount, for example) include a minus sign before the value. For instance, if you want to add a $10 discount, you would need to input -10 into the field.
Fee realization date
The fee realization date is the date in which the service item is attributed to a specific date.
For non-Accounting users:
If an item is added before the check-in date, the default realization date is the check-in date. If an item is added after the check-in date, the default realization date is the date it is added.
For Accounting users:
Items are realized by default according to your business model recognition date.
